The Council encourages events to be organised at the local level by those who would like to get involved. RSE-Asia could be launched on that day. maybe a panel discussion. 2/3 senior to come to discuss, with open question a presentation on RSE Asia (who you are, why you are doing it, etc.) ## Week 3 - Agenda: https://openlifesci.org/ols-4/schedule/#week-03 **Roll call** - Anne - Jyoti - Saranjeet ### Before this call - review notes from the cohort call linked here: https://openlifesci.org/ols-4/schedule/#week-04 **Links to your assignments to share with your mentor** ADD LINKS TO YOUR ASSIGNMENTS MENTIONED IN THE LAST COHORT CALL - Open an issue on ols-4 repo where you will be able to track you progress in this cohort: https://github.com/open-life-science/ols-4 - Complete the compare and contrast assignment about current and desired community interactions and value exchanges. - Start working on your Open Canvas ([instructions](https://mozilla.github.io/open-leadership-training-series/articles/opening-your-project/develop-an-open-project-strategy-with-open-canvas/), canvas) - Reflection exercise on your role as a mentee and a project leader in ols-4 ### Agenda and Notes - Establish a check-in ritual and try it. (2-3 minutes) (Examples: weather check (my project feels like a blustery wind right now), .gif share, video share) - (your notes) - Establish a culture of gratitude ritual (if you have not already). (2-3 minutes) (Examples: recognitions (recognize colleagues), sparkling moments (recognize community members), shout-outs) - (your notes) - Review your goals and any progress you’ve made towards them. Any challenges to mention? (5 minutes) - Working on your open canvas and will add an issue to https://github.com/open-life-science/ols-4 - started to work on your roadmap - Plan for website (ongoing) using open canvas - Batool will check hackMD, provide inputs and feedback. - Add Batool's talk from September RSE to website's contribution section - Review your assignments from last week, reflect on where in your project are they applicable. (10 minutes) - See above - Review your GitHub repo and get any help you need adding your content developed through the assignment from last week (5-10 minutes) - Jyoti will create the repo (learned how to make issues and create gh-pages) - Done - Discuss if your mentor should help identify experts to invite to one of the future mentor meetings (2-3 minutes). - Use these question to brainstorm this section: Do we need an expert at any stage? Which week they might likely be useful? Which area do we need expert advice? - (your notes) - Anything else: - (your notes) 1. [name=jyoti] How to register for RSE Asia Community? [name=anne] - Identify the country where we want to register. - If it is registered in one country, people from other countries might not be able to join events. - Check the expenses for registering 2. [name=jyoti] Is registration necessary before the kickoff event? [name=anne] - No 3. [name=jyoti] Should we have a Twitter account for RSE Asia? Would have in making announcements? [name=anne] - Yes 4. [name=jyoti] Should we have a LinkedIn page too? Would also help in announcements? [name=anne] - Can start with twitter at first. LinkedIn can be done later on. 5. [name=jyoti] How to collect registration and what information from people can be collected? [name=anne] - Google form, google group - Info - Name, title(Dr./Prof/etc), email address, city and country of residence, official affiliation (optional), - [name=batool] I'd suggest add questions asking about why are they interested to join RSE and what kind of things they would like to learn? It's just so we get to create pathways for different personas in the future! 6. [name=jyoti] How to share zoom/meeting links with people and when to share? Just before the kickoff event. How to keep it private so that only those people can join it, with whom we share the link? - [name=anne] Send link to their email (that they have shared from google form), tell them that they need to be member of RSE Asia Community - [name=batool] We can use Otter.ai for accessibility to display captions during the event. I have a paid account! I also recommand creating a google doc to sign-in and ask equestion (also to add the important links), it's better/more organised, similar to OLS cohort calls. 7. [name=jyoti] We need to have a CoC in our website at the very start. Which CoCs to refer for the same? [name=anne] - Use UK's and Nordic Regions' CoC - Also check with all RSE associations - [name=batool] CoC is a bit tricky, it's very western, we might have to make changes to it. 8. [name=jyoti] Will we be recording any event? [name=anne] - At the beginning, no recording will be more comfortable - Do add blogs, events, webinar to website. - [name=batool] Adding blogs is very important! 9. [name=jyoti] Webpage contents/sections - Refer other RSE pages to get the basic structure - Give a title (Basic created) - About page (Basic created) - Logo [name=anne] - Close to the standard logo, should reflect something about Asia - Add this logo to rse.asia.association@gmail.com profile - Anne will find and share link for discussion on logo! - [name=batool] I'm happy to help with the logo, I have adobe illustrator! - Contact us (twitter and LinkedIn) - [name=anne] Not personal email id, rather the google group account for communication - [name=batool] Maybe we can create an alise that forward emails to our personal/work email! - Where to register link - Past events - Upcoming events (calendar like) - Blogs - Videos - Code of Conduct - link place for community discussion (slack, discord) - [name=anne] Anne will speak with RSE association people about Slack or any other discussion forum 10. [name=saranjeet] Hacktoberfest 2021 is around the corner. Can we plan something around it? For connecting with a larger audience group. (Maybe set some tasks to improve the initial version of our website which we should set up and run as early as possible) [name=anne] - Defintely a good idea - Tweet about this - By 3rd Oct, create twitter handle, create task list for Hacktoberfest! - Later write a blog about these very events that we have done during launch and post it on our webpage - Use Jitsi for calls/events. Can be informal. Announce about these calls on Twitter. - Anne would ask on 4th Oct and update us about 'listing us as organising an event' - [name=batool] I love making use of the Hacktoberfest! 11. [name=saranjeet] We need to decide what we want to do as a launch event for RSE Asia on 14th October. Would it be an introductory/kick-off zoom(?) meeting? Do you have any tasks or ideas for it which we can plan within this short duration? When should we start advertising for it? and what all we advertise? We need to have a place to register people for this event and in general also for RSE Asia and also setup our basic webpage soonish. [name=anne] - Hacktoberfest is a great idea as a launch event for RSE Asia, we can also ask the same people to join the community - People from everywhere (Asia+Other), those from Asia may optionally register to the RSE Asia community - 'Upgrading the webpage' can be a mentored task for Hacktoberfest participants - These tasks would be simple and short - OLS, RSE and Hacktoberfest are all involved. So, we can use hashtags from each community and advertise the RSE Asia Community - Participants get goodies from Hacktoberfest on completion of Hacktoberfest - During the task, we can ask people to 'like'/'star' our github repo or anything - We can work as maintainers or contributors for the Github repo for Hacktoberfest tasks/PRs - Add roadmap to RSE Asia website - Add Open Canvas to RSE Asia website - Task status (New/In Progress/Done) can be there on website, Contact point/ Github issue and later slack or discord contact too - Use Slack/Zulip as a common place for communicating/ sharing links/ documents amongst Mentor-Mentees - For community interaction too, we can choose one of Zulip(doesn't have video call)/ Slack(has video)/Discord (has Video) ### After this call - Contact Hacktoberfest people and discuss about advertsing RSE Asia in Hacktoberfest (if possible, talk to them during the APAC launch event) - Permission from OLS not required for working on Hactoberfest - OLS can also advertise RSE Asia - For a 1 hour event (45 minutes for task and 15 minutes for intro), we can add the tasks for creating websites, we can ask them to keep working on it throughout October. - 2-3 people amongst the mentees as maintainers of Github for tasks done by participants/contributors - Once a PR is approved by anyone of us 4, then Saranjeet can merge the PR - If a task is more complex, Anne can have a look into the issue. - Once Saranjeet and Jyoti create twitter account and basic website, we can send the task list for events for Hacktoberfest for review to Anne - We would meet with Anne on 9th Oct, before the launch on 14th October ### Task completed after Week 3 call - Jyoti created a rse.asia.accociation@gmail.com email account - Jyoti created an organization GitHub account 'rse-asia' - Jyoti added Anne, Batool, and Saranjeet as 'Member' to the GH organization and has sent an invite to each one of the aforementioned people to join. - As each person accepts the invite, Jyoti will change their role from 'Member' to 'Owner' on the GH org, so that each one of you has all the permissions on this GH org. - Jyoti created a GH repo for Wesite of RSE Association, for Hacktoberfest. - Jyoti created a twitter account for RSE Asia Association @RSE_Asia - Saranjeet created website for RSE Asia Association https://rse-asia.github.io/website_rse_asia/ following the blog https://jhelvy.github.io/distillery/posts/2021-03-21-create-a-github-website-with-distill-in-less-than-30-minutes/ **Next week: Cohort call** - Shedule, time and agenda: https://openlifesci.org/ols-4/schedule/#week-04 **Assignments before the next cohort call** 1. Share the image/link on your GitHub issue 2. Look up at least two other projects in the issues and comment on their issues with feedback on their vision statement. 3. [Start your Roadmap](https://mozilla.github.io/open-leadership-training-series/articles/opening-your-project/start-your-project-roadmap/) and comment on your issue with your draft Roadmap. 4. Review notes from last cohort call to see if there was something else that was mentioned as homework or assignment ## Week 5 - Agenda: https://openlifesci.org/ols-4/schedule/#week-05 **Roll call** - - ### Before this call - Hacktoberfest Tasks: - Do the following in RSE Asia website - Add twitter handle - done - Add rse asia email address - done - Add upcoming events to - done - Add Code of Conduct - done - Improve README - done - Add email address to website - done - Discussion with Anne on Oct 9 - What to write on twitter account? Also for newbies. - Use the same form asking if they want to join to our community - On webpage tell that we are participating in Hactoberfest.
