Summary of the StV-Evaluation | 2024

Earlier this year, from 22.01. to 18.02. we collected your feedback on our work as ÖH Student Union (StV) for Artificial Intelligence. Here we have tried to summarize the results and the actions we plan to take as a consequence of them.

We are using a Likert Scale from 1-5 for many of our questions. Please note that this has changed as opposed to the one we did last year with CS

I am generally happy with the work of the StV.
Mean 4.16, Median 4.5

We feel this is a very high number. As this is our first period as a seperate Team, StV AI, we still struggle with some parts of the duties a Student Union has. However, this results indicates that our work is perceived well and we are happy about that.

Atmosphere

I feel like the StV provides a welcoming and inclusive atmosphere for all students.

Mean 4.35, Median 5

As a way of maintaining this good result we offer Awareness Teams at our events and Confidential Contacts on our Discord.

Mean 4.04, Median 4.5

Again a rather high number. This is good, since being an authority to help out with study related questions is definitely one of our core-competencies.

I feel like the StV is competent when it comes to answering questions.

Here we have gathered your impovement suggestions together with quick explainations of the services.

Discord-Server

The StV provides and moderates a Discord server for all of its students to give you a place to talk to each other and ask questions to members of the student union. You can also find exams and memes here: https://discord.gg/wAek576

It is pretty apparent that our Discord server is the by far most essential service we offer and is generally very well known and liked. Numbers are a bit skewed though, given that the survey was unfortunately only published on Discord: See our Methodology for more.

We specifically asked you for improvement suggestions of our server, and you had a few:

  • Create Separate Channel for öh-ai-work: On the Discords there exists a channel #öh-work where we broadcast news from our team. However, since posts in this channel only appear about once a week, we feel like separate channels are not necessary.
  • Introduction to the functions: Discord has a broad variety of functions, which is why one person suggested we make an introduction to the functions of our server. There already is the Discord FAQ which does exactly that!
  • Unclear origin of messages: One person pointed out, that they were struggeling with determining whether or not a posted message refers to a service by us or another institution. In general, one can assume that, unless a message was posted by a person with ÖH-role, it does not introduce a service or event provided by us. Additionally, we add [external event] flags to messages advertising events made by not us.
  • Atmosphere: Finally some people commented on the atmosphere on the Discord, pointing out unhelpful answers and being told of for discussing things, other people didn't feel fit for the server. We feel that this occurs because when hosting a communication platform for over 5000 users, many of those users will have varying ideas of what the server should be used for. A good rule to stick to, is to use the right channel to discuss the right thing. This way people who are interested in the topic of the channel will find only messages that are interesting to them.
  • Create additional Wiki: One person commented that additionally to the dynamic way of sharing knowledge on Discord, a Wiki about the courses and co. would be beneficial. While this may be useful, it would be an awful lot of work, which is why we do not plan on creating something like this anytime soon.

Study Guide

Our Study Guide (or "Leitfaden") is an information brochure that should help you with your study start. It is specifically designed for first semester Bachelor students. Find out more here.

Our Study Guide is pretty well-known, especially among first semester students. This isn't too surprising (it's hard to avoid getting one within your first week at uni), but it's good to know that you don't seem to have any issues with it.

As you can see via the link above, while we don't have a similar brochure explicitly target to Master's students (because the study is a lot less structured), we believe that quite a bit of material exists for them as well.

AI-Cafés

Every week, we organize a "Sprechstunden-Café": Grab free coffee and some cake and rant about any problems in your study, exchange ideas, get to know people, and receive advice from veterans of your study. Find our more here.

Although last Semester's AI Café has often tested out the limits of the room, many report on never even having attendet it, some even say they never heard of it. We can really recommend everyone to at least swing by the Café once, and connect with fellow AI Students. Next semester it will take place on Thursdays from 10:15 to 11:45.
One person suggested doing the AI Café for longer. This unfortunately we cannot do, since we share the office with other Student Union Teams and therefore cannot decide by or own, on when and for how long we want to do the AI Café.

AI-Mentoring

For all first-year students, we offer Mentorings in the winter semester to provide support for your study start: In regular meetings, a member of ÖH helps you with your study start. They are a mandatory part of the AI curriculum (Integrated in the "Lecture Series AI" course) You can find more information about the Informatik-Mentoring on our Website.

Since the Mentoring is only part of the Bachelor's curriculum, it makes sense that a part of you does not know about it. The fact however, that a large part of you says that they never used it, is unfortunate, since a rather large part of our team invests some time in providing it. Some also reported on it needing improvements. In fact we know this ourself and have tried a bit of a better approach last semester (as opposed to the times we did it before). We still hope that many 1st Semester Students consider it useful and profit from the program.

StV-Dashboard

In an effort to make our work more transparent, the StV uses a public project Dashboard. You can see all of our project groups there and learn who does what in the student union.

Unfortunately a large part of you has never heard of the Dashboard, which we use to log our projects. With our new website, we will now be able to feature it more prominently and can finally use our shiny new short link: https://new.oeh.jku.at/cs/dashboard

We'll continue to mention its existence as often as possible.

Bachelor Information Event

Finishing your Bachelor's and getting all the formalities of the Thesis project right can be hard. To help you out, we are offering an info event once a year. At the "AI Bachelor Info-Abend" institutes also get the opportunity to present some possible Thesis topics you can write with them.

The responses show that most of you are aware of this Service. We were quite happy with the turnout at the event however, and did not receive any complaints. You can find the recordings and slides here if you missed it.

Confidential Contacts

If you want to discuss a more sensible topic privately, or if you encounter problems with a member of the StV, you might not want to contact the whole Student Union. This is why we have introduced Confidential Contacts last year: They will treat your issues in a confidential manner and can then bring them up anonymously with the right people. Find out more here. While still sadly not known to all of our students, the popularity of this service has massively increased. We feel like the actions we took last year to boost their visibility following the evaluation were quite successful - with our new website, we know also have a prominent place to advertise them in more detail (see link above).

Following the last StV Evaluation, throughout the last year, we have also introduced Awareness-Teams to all of our bigger events - similarly to Confidential Contacts, they should ensure that everyone feels welcome and that problems are quickly resolved. They have also been adapted for most uni-wide events of the ÖH, such as the Mensafeste.

jkuroomsearch.app

An alumnus of the Student Union has created a service that crawls KUSSS to provide you with a list of unbooked rooms, the Student Union is paying for the domain. While the service is of course not able to know of any external bookings (that are not in the normal KUSSS system), it can still help you to find a free study room more easily. This service is probably not the most integral to our work, but we thought we should mention it. We advertised it a bit during exam season and will now also add it to our FAQs and Study Guides to increase its visibility.

#job-offers on Discord

The Student Union is frequently contacted by companies about open positions. Our team checks the offers for compliance with the minimum salary according to the collective agreement. We then forward them to you by posting them on Discord in the #job-offers channel.

We are positively surprised to see that so many seem to actively use this offer. Since there were no real requests for change, we'll keep at it.

StV-Event-Calendar

Our bigger events can be found in our event calendar. Add it to your calendars to never miss an event again - you can find it here!

Given that our events are very actively advertised on Discord now, our calendar has lost a bit in popularity. It is still used enough to warrant the extra effort of syncing the two, but we most likely won't port it to the new calendar feature of our new website.

Please note, that we have now our own calendar specifically for AI Students! So be sure to subscribe to it to get all events directly into your calendar-application of choice!

Unrelated Feedback

One of the open text feedback submissions suggested official polls regarding the performance of the professors courses etc. Surveys like this are conducted by Uni itself and therefore we feel like this would not be something worthwile doing.

Regulars' Table Linz + Vienna

Every month, we organize a Regulars' Table in a bar at the uni for all AI students. You are invited to come and talk to your colleagues in a chill atmosphere, we pay for your drink. Once a semester, your teachers are invited as well. Find out more in the Event section of our website.

Since one comment pointed out, they felt like our events were focused too much on alcohol, we may start also pointing out that the location of our Regular's Table also provides alcohol-free drinks. The focus is not on drinking but on spending time with colleagues in a casual atmosphere.

Another comment pointed out on the sparse nature of the Vienna Event. This is of course due to our Vienna Team still being rather small and given the fact, that JKU is a Uni situated in Linz, we feel it's fair that most of our events happen here. We are however working on putting a bigger focus on Vienna.

StV-Barbeque

Every summer semester, we grill for all of our students and lecturers at the StV BBQ: Enjoy free food and drinks, prepared with a lot of love! Find out more in the Event section of our website.

Since this is a Summer Semester Event it makes perfect sense that many people have not heard of it.

Welcome Party ("Einstandsfest")

Every winter semester, we invite you and your lecturers to our Einstandsfest, a little Welcome Party at the beginning of the semester with free food and drinks. Find out more in the Event section of our website.

Discord Meme-Awards

Probably one of our more random events, our Discord Meme Awards have now somehow become a regular thing. In it, we honor the best Meme creators on our Discord, determined by an Oscar-worthy voting process - see last year's announcement video.

Given that this event is not taking itself too seriously and embraces "cringe" in all of its forms, it is sometimes hard to judge how you actually feel about it. Quite fine, it seems. We don't know how to feel about that.

JKU GAMES

Together with the ÖH TNF, we organize a massive gaming event for all members of the JKU each semester: Be it board games, PC, VR, or Pen and Paper, we've got you covered. You can find out more here.

Very apparently, this event needs no introduction. However not many of you report on having attended. Since we are all big fans of the event and take some pride in it, we can only recommend to you on swinging by the next JKU Games on 17.05-19.05!
You'll find a link to our Games Discord server at the website above. As usual, we'll post a survey about what tournaments we should offer in the future, so check it out!

ÖH Eval-Day

The ÖH Eval-Day is our way to increase turn-out for the course feedback questionnaires. By handing out free snacks and drinks, we want to incentivise you to help improve your courses.

Initially a project of the StV Informatik, the Eval-Day has grown to a uni-wide event: Last semester, we cooperated with all other faculties and even had a visit from the Vice Rector for Teaching. Because of that, this event was pretty well-advertised and known to most participants.

We received some feedback about the date of last semester's edition: Because the event was quite early in the evaluation phase, some courses could not be properly evaluated yet because their exams were after the event. While we do understand this issue, it is always somewhat of a balance act: If the event is too late in the semester (or during exams), not many people show up. As you can probably imagine, with that many planning teams involved, finding a date is not easy at is already.
Still, we'll keep your feedback in mind for next semester.

ÖH TNF SummerBarbeque

Similar to the StV BBQ, we also organize a massive grill event with the ÖH TNF every summer - specialities such as our liquid-nitrogen ice cream included. Find out more here.

Despite the fact that first-semesters have never participated in it, the event is pretty well-known. This is not too surprising, given that is one of the biggest events on campus and has been a beloved tradition for many years.

Similarly to the StV BBQ, we are rethinking our meat options. Other than that, you seem to be quite happy with it - same goes for us, last year went pretty smoothly.

ÖH TNF Punschstand

Every winter semester, the ÖH TNF offers hot Punsch to help you get through the cold weather and the even harsher exams.

This year, we combined the Punschstand with our Stammtisch and had quite some fun there - you had no negative feedback, there is not much we aim to change either.

ÖH TNF Park Café

Once every semester, the Study Café is converted to the Park Café: We leave our office in favor of the Science Park and serve you coffee, tea, cake and cookies, together with some tips and tricks on how to organize your study!

This event is probably one of our easiest one effort-wise, but it is nice to see that you don't seem to mind. Given that it is aimed mainly at passer-bys we usually don't reach with conventional methods, we don't advertise it too much. Turnout was quite alright still, thanks for coming.

Conference CatchupNeurIPS

This event was a first-timer in our repertoire. While we were very happy with the turnout, we already know ourselves that some improvements will be needed the next time.

One feedback requested a zoom Stream for this event. We have explicitly decided against that, since we are showing content that is behind a paywall and also because we believe that this should be a communal, in-person event.

What are your thoughts about the External Events we promote?

General sentiment of the answers to these questions was rather positive. We generally are in favour of promoting external events, as long as we deem them adjacent enough to our fields of study.

We believe, that the results here stand for themselves. We will take it up as feedback and try to adjust our offers accordingly.

Are there any additional services or events you want us to organize?

Results here were threefold. On the one hand there were requests for more diverse Vienna Events. This is something we need to figure out. We now have a small part of our team in Vienna, which is a good start for a development in this direction.

Another fraction requested Hackathons. Those are rather hard to organise. We believe, however, that there are enough other organisers of Hackathons in the near future. Just keep your eyes open for Hackathons by neuron.ai and 0xA.

The third part of the answers could be categorised as more "special interest"-events. Namely Events like Board-Game evenings, nerd-conventions or language exchange meetings. We feel that these might be best implemented in the Regular's Table events. Maybe in the future we will try to design these events in a more topic-oriented fashion.

We are happy to see, that "Discord Announcements" and "Discord Events" are the most common answers, since this is the most comfortable way of communicating with you from our perspective.

Regarding the rest, we see that expecially the "StV Calendar" is not a very known Service. We believe, however, that it really is an efficient way of broadcasting event-appointments, which is why we plan to use and promote it more in the upcoming semester.

Methodology

  • Responses to some questions were moved and handled at a more appropriate position.
  • The questionnaire was sent out as Google Forms via Discord. Unfortunately, the Mail Department of the uni-wide representation (ÖH JKU) failed to follow our requests to send out the survey via email. While out of our control, this severely limited the amount of students reached and introduced some limits to its meaningfulness.
  • Last year's survey can be found here. Note that last year's survey was combined for CS and AI students, while this year separate surveys were send out - comparability is a bit limited because of that. You can find the results for CS here.
  • Note: Some of the links in the report will change in the near feature with the porting of our website.
