    --- tags: 2021-program --- 🔙 Back to [PyCon TW 2021 Organizing 共筆](/Wb9vQrfJQk-5tPoPR23hwA) --- English Version Below: [2021 PyCon TW Speaker Rehearsal Guideline](#2021-PyCon-TW-Speaker-Rehearsal-Guideline) # 2021 PyCon TW 講者測試指南 ::: spoiler **check list for session chair** ::: success #### speaker 加入後 - [ ] 詢問 講者姓名唸法 - [ ] 確認講者場次與議程廳(包含直播/預錄、第幾天的時段、哪個track,[議程表](https://tw.pycon.org/2021/zh-hant/conference/schedule)) - [ ] 確認 - [ ] 選擇直播之講者的設備(ex:耳機、麥克風)、環境符合需求 - [ ] 選擇預錄的講者是否繳交影片 - [ ] 確認講者已加入 discord,加入主持人好友,有身份組 `2021-speaker` - [ ] 詢問 gather.town 會後 Q&A 意願 - [ ] 告知大會當天報到流程: - 15 min 前到 discord `r[0-3]-checkin` 頻道報到,同時取得 meet 連結 - 議程前 5 - 10 min 加入meet (如果前一場只有5-min break 就 5 min前加,其餘 10 min 前加入) - [ ] 說明 有導播、兩位主持人等角色 - [ ] 說明使用平台: - 演講直播工具:google meet - 報到、溝通工具: discord 的 `r[0-3]-ckeckin` 文字頻道 - 目前已先刪除 ~~r[0-3]-remote-guide~~ **會由廠商做時間提醒** #### rehearsal 開始前 - [ ] 告知: 在 google meet 中,只有導播的聲音不會被傳出去 - [ ] 提醒講者應分享簡報畫面,直至議程結束(中斷分享可能會導致轉播畫面跑版) #### rehearsal 結束後 - [ ] 講者若有 gather.town Q&A 意願, 帶去講者交流區導覽 - [ ] 給予講者[共筆](https://hackmd.io/@pycontw/2021/%2F%40pycontw%2FBk3o9ROft),讓他們看自己場次的hackmd頁面與slido,講者若願意可自行先將議程大綱打上去 ::: ## 登記測試時間 遠端講者測試將在**Sep. 11 (Sat.)** 至 **Sep. 25 (Sat.)** 舉行 請到[Google表單](https://docs.google.com/spreadsheets/d/1aHiCnu-UeARFgM7NxhunzH3GE6HwI_FQiSsI0WXc-dc/edit?usp=sharing)選擇一個您可以參與的測試時間 一位講者的測試時間約為10~15分鐘。 議程對應的主持人將會提前發信給遠端講者一個當天測試所用的Google Meet連結 ## 目標與流程 * 確認選擇直播之講者的設備符合需求 (解析度、連線品質、有耳機、燈光...等) * 在 Python Taiwan 的 Discord 伺服器(https://discord.gg/dr5JmVFNtj) 完成註冊並確認已加入身分組 `2021-speaker` * 走過一遍[測試流程](#測試流程) * 感謝講者參與測試,並提醒當天相關事項 (如果有) ## 測試流程 ### 1. 設定Google Meet並加入會議 講者與主持人透過預先開好的Google Meet連結加入會議,Google Meet至此將暫時作為本次測試的溝通工具。 ### 2. 說明今天講者測試的流程 主持人向講者簡單說明今天測試的流程。大致如下: * 確認講者的環境設定 (預錄的講者可跳過此步驟) * 協助設定 Discord * 協助加入 gather.town * 試走一遍演講流程 * 確認講者場次與議程廳 * 告知 15min 前到 discord 報到,同時取得 meet 連結 ### 3. 確認講者的環境設定 (預錄講者可跳過此步驟) 主持人會先行確認講者的環境符合要求。跟講者確認此次的環境是否即為屆時使用的環境,如果不是的話需再跟講者提醒大會的環境需求。 * 請講者打開攝影機,讓webcam畫面可以被看到 * 確認講者的webcam的影像是否清晰,臉部光線是否充足 * 確認講者有耳機,而不是使用喇叭 (**必要!**) * 確認講者有麥克風,且聲音清晰 * 請講者分享螢幕畫面 * 確認講者的連線品質是否穩定,如果不穩定可以提醒講者能否改善網路 * 確認講者的螢幕解析度是++1920x1080(1080p)++ (講者的分享畫面在Meet中要是滿版) * 請講者打開當天的簡報 (不用是完成版) * 確認講者的簡報比例符合++16:9++ * 請講者翻翻簡報,確認講者簡報動畫或過場沒有嚴重延遲問題 **已知可能問題與解法(持續更新)** * 有延遲問題:瀏覽器若不是使用 Chrome,可以嘗試使用 Chrome 看能否解決 ### 4. 協助設定Discord * 若講者尚未安裝 Discord 與註冊帳號,請先協助講者按照 [Discord 指南](/PxnGs1RWTsCDL1E5BBSC3w#設定-Discord-與加入-Python-Taiwan-伺服器) 的說明完成 Discord 設定流程 * 主持人確認講者已加入 `2021-speaker` 身分組 ### 5. 協助加入 gather.town * 詢問講者是否願意參與會後互動 * 若講者願意的話則由主持人協助,讓講者加入大會的 gather.town 看看 * [Space 1](https://gather.town/app/y7iXkqcZ2cUe43Mr/PyCon%20TW%202021%20Space%201)(密碼:pycontw2021venue) * [R0 講者互動區傳送門](https://gather.town/app/y7iXkqcZ2cUe43Mr/PyCon%20TW%202021%20Space%201?spawnToken=pLiDrfknwOK4QCf9) * [R1 講者互動區傳送門](https://gather.town/app/y7iXkqcZ2cUe43Mr/PyCon%20TW%202021%20Space%201?spawnToken=n-VPtv3G4Pj9fHod) * [Space 2](https://gather.town/app/zrrivgpwheEOCy8e/PyCon%20TW%202021%20Space%202)(密碼:pycontw2021venue) * [R2 講者互動區傳送門](https://gather.town/app/zrrivgpwheEOCy8e/PyCon%20TW%202021%20Space%202?spawnToken=JqPzi9Ddq0Ez8bxT) * [R3 講者互動區傳送門](https://gather.town/app/zrrivgpwheEOCy8e/PyCon%20TW%202021%20Space%202?spawnToken=1NM9_riSgwpKhvRn) > 會後互動: 在議程結束後在 gather.town 上與觀眾繼續Q&A或其他互動 ### 6. 試走一遍演講流程 #### 前置準備 * 講者預先開好簡報,並開始分享簡報畫面 * 大會當天議程開始後,原則上講者需一直分享畫面直到議程結束 * 若講者需要觀看 slido 頁面,建議可使用第二裝置觀看 #### 議程開始 ##### 介紹 (15 seconds) * 主持人簡短介紹講者與演講題目,並cue講者開始演講 * 主持人關掉Google Meet麥克風與webcam畫面 ##### 講者試講 (30 seconds) (若為預錄講者則跳過此步驟) * 主持人在講者試講時,嘗試做剩餘時間提醒。 (步驟:講者講了大概10秒後,主持人打開Discord麥克風,並做出"剩下一分鐘"的時間提醒,提醒完後就關掉Discord麥克風) ##### 演講結束 * 主持人打開Google Meet麥克風與webcam畫面 * 這邊假設講者演講結束了,主持人先打斷講者。 * 主持人說出感謝詞如:「謝謝講者帶來的精彩演講,接下來我們進入Q&A時間」 ##### Q&A時間 * 講者轉到 slido 畫面 * 此時請講者仍繼續分享畫面,防止轉播畫面跳動 * 主持人會根據 slido 中的問題依序從上至下問問題 #### 議程結束 * 如果講者同意參加會後互動,主持人跟會眾提醒:「講者接下來會在gather.town上的講者交流區,大家會後可以到gather.town上跟講者進行互動」 * 主持人宣布本場議程到此結束 * cue: 大會當天導播聽到「議程結束」後會切到休息時間的輪播畫面 * 講者此時可以停止分享畫面 * 大會當天至此主持人與講者即可退出 Google Meet * 主持人跟講者切到 gather.town,由主持人提醒講者可透過[第5點的傳送門連結](#5-%E5%8D%94%E5%8A%A9%E5%8A%A0%E5%85%A5-gathertown)到講者交流區 * 可以跟講者溝通在講者交流區待大約10分鐘,或是等到無會眾即可 ### 本次講者排練結束 * 所有人可以退出 gather.town * 感謝這位講者今天參與,並宣布今天的講者訓練圓滿結束 * 主持人與講者離開 Google Meet ### FAQ * 主持人與助理主持人聯繫問題 * 後續整理 discord id 對照表 * 報到流程 ==> 補充講者指南 * 15 分前到 discord 報到, * 進到 google meet 等候被加入 --- # 2021 PyCon TW Speaker Rehearsal Guideline ## Register your rehearsal time slot Speaker rehearsals will be held from **Sep. 11 (Sat.)** to **Sep. 25 (Sat.)**. Please refer to the [Google Sheet](https://docs.google.com/spreadsheets/d/1aHiCnu-UeARFgM7NxhunzH3GE6HwI_FQiSsI0WXc-dc/edit?usp=sharing) to select an available time slot for you. The rehearsal time for one speaker is about 10 to 15 minutes. Your session chair will send you an email with Google Meet invite link for rehearsal beforehand. ## Purpose and Flow * Make sure live stream speakers' devices match our requirements. (Resolution, connection quality, headset etc.) * Speaker has registered to Discord(https://discord.gg/dr5JmVFNtj), and already joins the role `2021-speaker`. * Go through [Rehearsal flow](#Rehearsal-flow) * Thanks to speakers for joining the rehearsal, and remind them something important on that day (if any). ## Rehearsal flow ### 1. Setup Google Meet and join the meeting Speakers and session chairs join the Google Meet that already known beforehand. For now, Google Meet will temporarily act as the communication tool for the rehearsal. ### 2. Brief introduction of rehearsal flow Session chairs introduce rehearsal flow to speakers, which shown as below: * Check speakers' environments settings (Skip this step if speaker's talk is pre-recorded) * Help speakers set up Discord * Help speakers join gather.town * Go through the presentation flow * Confirm the date and time of speaker's session * On the conference day, 15 mins before your session start, please go to `r[0-3]-checkin` and send message to let your session chair that you're ready to join Google Meet. Session chair will send you the link of Google Meet right away. ### 3. Check speakers' environments settings (Skip this step if speaker's talk is pre-recorded) Session chairs should check speakers' environments match the requirements. Furthermore, check if the current settings are exactly the same as the settings used on conference day. If it is not, remind speakers the requirements that PyCon TW needed. * Speakers open their webcam, so that they can be seen on session chair's screen. * Check if speakers' webcam video is clear, the illumination on face is ok. * Check that speakers have a headset with them, and not using a speakers. (**Required!**) * Check speakers have a microphone and the voice is clear. * Speakers start screen sharing * Check speakers' connection quality is stable, if it is not, suggest speakers if they can improve it. * Check speakers' screen resolution is ++1920x1080(1080p)++ (So that speakers shared screen should be full-size in Google Meet without border) * Speakers open their presentation materials (No need to be complete version) * Check speakers' presentation materials aspect ratio is ++16:9++ * Speakers try go through some pages to make sure there is no severe delay problem. **Already known problems and possible solution** * Screen delay or jigger: If speakers' browser is not Chrome, try using Chrome and see if it works better. ### 4. Set up Discord * If speakers have not installed Discord and register an account, help speakers complete setting procedure according to [Setting up Discord](/PxnGs1RWTsCDL1E5BBSC3w#Setting-up-Discord) * Make sure speakers have `2021-speaker` role ### 5. Go through the presentation flow. #### Preparation * Speaker open slide and slido page, then switch to slide presentation screen and start sharing screen. * On the conference day, basically speaker should keep sharing screen until end of session * You can use another device to watch Slido page if you want #### Session starts ##### Introduction (15 seconds) * Session chairs make brief introduction, and give speakers a cue to start their presentation. * Session chairs mute themselves and switch off webcam on Google Meet ##### Start presentation (30 seconds) (Skip this step if speaker's talk is pre-recorded) * During the presentation, session chair will do a remaining time remind (Step: After speakers speak 10 seconds, assistant chair unmutes on Discord, reminds speakers the remaining time with sentence like "one minute left" , then mutes again on Discord.) ##### End of presentation * Session chairs unmute themselves and switch on webcam on Google Meet * Assume it's end of presentation, session chair interrupts speaker's presentation. * Session chairs give thanks to speaker and announce Q&A start ##### Time for Q&A * Speaker switches to slido page * Please keep sharing your screen * Session chair will ask you question raised in slido * The questions in Slido will be asked one by one, from top to bottom if we have enough of time. #### End of session * If you accept post-session interaction, session chairs will remind attendees that speakers will move to post-session interaction space on gather.town. * Session chairs will announce the end of this session * On conference day, you can leave Google Meet after announcing end of session. * Session chairs and speakers switch their screen to gather.town. Session chairs can remind speakers to use [gather.town links](#5-%E5%8D%94%E5%8A%A9%E5%8A%A0%E5%85%A5-gathertown) to directly move to interaction space. * Speakers can stay in the post-session interaction space to interact with attendees around 10 mins or until there is no more questions. ### End of this rehearsal * You may leave gather.town now. * Please remember to leave Google Meet by yourselves when session ends during the conference day. * Thank you for joining today's rehearsal😀 * You may leave Google Meet now.
