# Venue Selection Policy
The Fedora Project is committed to fostering Diversity, Equity, and Inclusion (DEI) in all aspects of its activities, including the selection of venues for large events and Fedora-wide activities like Flock. This policy outlines the framework for venue selection, with a focus on adhering to DEI standards in adherence with our "Friends" foundation.

The DEI team will oversee the development and maintenance of venue standards. These standards will encompass various criteria such as:

* accessibility
* inclusivity
* non-discrimination
* geographical representation

In this policy, the term Event Runner should refer to any organizer of an event. "Large Events" or "Fedora-wide" events should refer to any event where the anticipated audience is greater than 100 attendees or is intended as an international gathering of Fedora community members.

## Components of the Standard
The standard will be comprised of Critical Components and Non-Critical components. Critical components are any items which are an hard requirement for approval. Non-critical components are optional items event runners should strive towards and consider during their event planning.

For example, a non-critical component may be ensuring that a venue provides gluten free food services. While a critical component may be that a venue is hosted in a country that provides legal protections for LGBTQ+ families.

## Applicability
The venue standards will be applicable to all large-gathering events and Fedora-wide activities, such as Flock. This ensures that the Fedora community's commitment to DEI is consistently upheld during significant gatherings and engagements.

While local events are encouraged to meet these standards, regional or local events can be assessed for exception from these standards if local jurisdictional requirements conflict with the venue standards. For example, if a regional team is bringing together contributors in a country and in-country laws would prevent compliance, this would be considered a valid exception.

## Approval
Venues that successfully meet the critical components outlined in the standard will receive approval from the DEI team.

## Continuous Improvement
Feedback from event attendees and participants regarding DEI aspects must be actively collected by event runners and submitted to the DEI team for continued review of the standards.

## Standards Review Process
A checklist will be created to assess venues against these standards, providing clear and objective guidelines for evaluation for event runners.

1. Venues would be submitted for review and assessment to the current version of the standard via an Issue in GitLab using a template.
2. Event runners would review and attest all critical components have been met for a venue
3. If there are any non-compliant critical components, this would require further review and approval by the DEI team by a simple majority. In the event of an appeal, a rejection can be appealed to the Fedora Council for final vote with a simple majority.
4. After the event is held, any feedback from attendees on DEI activities should be posted to the Gitlab issue in an anonymous way (not tied directly to attendees)
