# COSCUP 遠距講者協調指引
## 需要請講者先準備的
### 講者遠距演講的環境
室外(包括陽台等地)的不可控因素太多,請講者避免在室外拍攝演講。
**光線篇:日間**
* 採用自然光源為優先
* 建議講者先在前幾天於演講的同一時間(例如正式演講是下午三點,就挑某天的下午三點)實際嘗試拍攝,看看有沒有過量或過暗的問題。
* 若自然光源足夠強烈,則不需再另外開室內燈
* 若自然光源不足導致臉部過暗等問題,可開啟室內燈光輔助
* 請講者盡可能面對光源,避免逆光(演講者背對光源)拍攝。尤其自然光源不可控,逆光可能造成攝影機白平衡失誤而整片白或臉超黑。
**光線篇:夜間**
* 請講者在演講前先預備好演講環境,盡可能讓室內燈光的光源在講者的前方 0~45 度角範圍內。(左右側皆可)
* 請避免使用來自頭頂上方打下來的單一光源,會很像鬼
* 亦請避免讓講者電腦螢幕的光在拍攝時反射到眼鏡上
**收音篇**
* 請講者在演講前還是請比照正式上場:
* 將電腦的通知、手機鈴聲等關閉,避免干擾
* 告訴講者的家人/室友演講時間,請其盡可能保持安靜
* 建議先預演一下確認環境音,避免過於吵雜影響收音(比方說如果講者的座位位處老舊的冷氣機旁...)
**工具篇**
* **強烈建議協調人先與講者聯絡,使用一次 Google Meet 進行測試**
* 確保講者熟悉分享桌面等操作方式
* 確保講者所處的環境網路速度足堪遠距演講
* 請講者在測試時遇到任何問題,可以先通知議程軌協調者,並盡可能準備好預錄版本提供給議程協調人以備不時之需
**其他拍攝建議**
* 建議講者的鏡頭可以正對臉,高度為平視,較為輕切自然
* **請講者避免讓鏡頭低於臉、由下往上拍。**
## 在演講前...
* 建議先跟講者約早 5-10 分鐘上線進入 Google Meet
* Google Meet 請向大會索取連結
* 確認可以連上網
* 確認畫面解析度:解析度沒有跑掉導致整份剪報模糊等情況
* 若發生畫面解析度不佳,請回頭確認網路狀況
* 4k 螢幕筆電可能會遇到 streaming 時需要開HiDPI 讓字體放大等等問題,若遇到該問題可參考以下兩種解法
* 請講者把字體調大
* 請講者把解析度調低
* 螢幕、簡報畫面是否有被切掉
* 若發生簡報畫面被裁切掉,檢查解析度
* 若檢查解析度沒有問題,仍有同樣狀況,請直接將出現在畫面的橡木統一條大或是調小
* 會議軟體下方會有一條 bar 遮住簡報,可事先提醒遠距講者,投影片下方留白
* 檢查切畫面狀:確認講者分享螢幕選項為整個螢幕
* 確認每個簡報頁都會呈現 (就是把簡報從頭快速放一遍)
* 簡報頁切到網頁或其他 demo 程式可順利切換
* 注意:簡報基本上不要過於卡頓就過關!
* 若有播放影片,需檢查影片是否正確播放
* 若錯誤請講者檢查是否有外接螢幕,有外接螢幕須,記得選擇「僅顯示電腦螢幕」或是「僅顯示第二個螢幕」

* 提醒講者須準備影片無法播放的備案
* 收音
* 確認講者麥克風、收音工具狀況
* 可聽到聲音,且不會斷斷續續
* 收音、回音部分已聽得「懂」講者在說什麼就過關
* 其他
* 提醒講者注意隱私問題
* 不開不應該開的網頁,如個人信箱、公司內部信件等
## 演講當下若遇到問題
0. COSCUP 遠距演講,**統一由 COSCUP 開 Google Meet 會議連結**,講者透過連結進入 Google 會議,進行簡報與分享
1. 若擔心任何臨時有狀況,可事前**提供錄影給議程負責人**,隨時轉成播放預錄影片
2. **請隨時注意通信設備,若有任何問題議程負責人將隨時通知**
3. 現場可能發生的問題與解決方案,如下
> 不保證一定能直接排除問題,因此仍需請各社群負責人,**準備突然無法現場遠距演講的備案**
* 網路
* 當網路發生延遲、斷訊等狀況,為維護品質,斷線後__5分鐘__內,由議程負責人決定議程是否取消/切換成預錄影片播放
* 畫面
* 若畫面發生切版面的狀況,請確保目前只有使用一台螢幕,並嘗試調整螢幕解析度
* 若突然發生黑畫面的情況,請退出連結,重新進入會議連結,並點選「分享整個螢幕畫面」
* 收音與麥克風
* 會議開始前,請先進行麥克風測試,確認活動現場有辦法聽到講者的聲音
* 若無聲音,請確認耳機與筆電是否有麥克風功能
* 請確認系統是否有開起麥克風權限
* 確認 google meet 設定的麥克風選項為正在使用的麥克風
* 遠距講者的社群議程,需指派一主持人加入google meet 中進行溝通,與協助 QA 時間
* 建議主持人配戴耳機麥克風與手機加入 google meet 連結,電腦的麥克風保持關閉狀態較為保險,出現 echo 或是機械音的問題可能性較小。
* 現場回音過大,或嚴重 echo 與機械音時
* 首先,請先確認是否有戴耳機與麥克風,若無耳機請使用耳機與麥克風
* 第二,請確認是否同時開到兩個麥克風,若開啟超過一個麥克風,請選定一個麥克風使用,並關閉其他設備
* 若上述解決此問題,請關閉或移除強烈電磁波的物品,或是換一個地點,進行簡報
#### 其他重要事項
* 現場活動中,針對遠距講者,希望盡量提供預錄影片,交給議程主持人
* 本次活動中,遠距講者優先處理方式為:講者預錄影片,活動現場由大會播放預錄影片,講者透過 meet 跟會眾互動。其次才希望講者用 meet 連到現場演講
* 優點:
* 網路爆炸只是講者消失, slot 仍可以繼續
* 提供給大會影片,紀錄組會直接上傳影片,並現場錄投影幕,收現場聲音
* 注意事項
* COSCUP 無法保證現場網路狀況
* 現場錄影、操作技術上會有一些不同,會再跟社群說明
* 需要麻煩各社群負責人調查講者是否需要現場連線
* 統計至 07/20

## 環境考慮
### 光線來源/建議
早上
光源:自然光源
-可以運用從窗戶透進來的光來打光,請在正式演講前確認光源為西曬還是東曬
-建議被攝者拍攝時可以面對光源,光源於被攝者右/左前45度角也可以
-如自然光源夠強烈,建議被攝者不要在開啟家中的人工光源(檯燈,電燈...)
**請避免逆光拍攝(受訪者背對光源),有可能拍一拍就整片白掉了,因為自然光控制不了**
晚上
光源:室內光源
-運用室內既有的光源來打光,請在正式演講前確認光源為何,亮度夠嗎?並確認色溫
-建議燈源可於被攝者右前/左前上45度角內,如家中的燈源無法移動,要麻煩受訪者移動一下
-也要注意一下螢幕的光源是否會反射到受訪者的臉上、眼鏡上
**請避免直接從頭頂上的單一強烈光源,會很像鬼**
### 背景音(在錄製時的雙方)
請確認背景音乾淨安靜
-注意空調、電風扇、車輛行駛、隔壁學校鐘聲,或是隔壁鄰居發出的聲響是否會造成收音品質不佳。
-麻煩同居人的人在受訪期間保持輕聲細語、看影片、玩遊戲時也盡量小聲(最好是靜音拉),手機也麻煩調成靜音
-可以的話,將電腦通訊軟體(除了當下受訪的軟體)關閉,不然跳通知可能會有聲音,進而影響錄影品質(Ex.Line, Messager都會咚咚叫很吵)
***麻煩大家都將手機調成靜音,如果是勿擾模式更佳(因為震動也是會吵)***
### 網路連線
確認連線品質,如使用WiFi,確認一下受訪當天的位置,電腦(受訪者的器材)是否在一個網路訊號強的地方。
### 室外
因不可控因素太多,避免在室外錄製
以上環境因素,可行的話建議在正式訪問前一次Meeting就可以先大概看一下
**1.會請每個議程軌的負責人在7/19-26的那周聯絡遠端講者安排一次技術預演為解決可能有的技術問題下去做預防
**2.會請每個議程軌的負責人在7/27-30的那周寄信給遠端講者登入連結和演講時間的email,以做為提醒的目的,再看看在會前有沒有問題
我個人prefer的環境
# 白天家中陽台>白天家中室內>白天戶外>晚上室內
*以上前提皆為安靜環境
### 拍攝建議
-盡量讓電腦以及受訪者成平視的,這樣比較有親近感
***攝影機、視訊鏡頭的角度請不要低於臉(傳說中的自拍死角?),會容易看起來很胖**
# COSCUP Remote Speakers Guide
## To dos for Speakers pior to their Talks
### Remote Speakers Environment
### Speaking Environment
Outdoor(Including Patio)has too many uncontrollable factors, please avoid to do Web Talk at any outdoor spaces.
**Lighting:Day Time**
* Advice to take natural light as the primary choice among all others
* Advice speakers to reherse the talk few days before their official talk(If you're schedule at 3pm, please pick the same time) to test out the camera/WIFI/lighting to see if there's any issue
* If the natural lighting is enough, we will suggest you don't turn on the artificial lights in doors(Table lights/Lamps..)
* You can directly use the light out of your home windows, it's best to face the light and not against it
* If you are behind the light, it would work the best if you adjust lighting to your 45 degree angles
**Lighting:Evening**
Evening
* It's adviced that you have lighting about 45 degree angles of your face to get the best result
* You want to avoid having light directly above your head, you will look like the ghost from The Ring
* Please make sure to check the laptap reflection and make sure it doesn't show on your face/glasses
**Background Noise(During the Talk)**
* To all the speakers before your official talk start please check the following
* Please make sure there's no background noise while you're conducting your talk
* Please pay attention to air conditioning、fans、cars、door bells、neighbors noises or anything that can effect you doing the presention
* Please advice anyone who in the house to keep the noise to minimum for their talking、TV sounds, and please have them and your phone all in silent
* Please turn off any messaging/or notifications on your computer besides the one you are using for presenting
* Please turn your phone to silent, not vibrate either
**Tool**
* **It's highly recommended to contact with speakers before the official talks, and use the Google Meet to test it out**
* Please make sure speakers have familar with how to use the system on their computers
* Please check the internet connection is enough to do the remote talks via online
*Please info speaekrs to prepare a back-up recording talks if they have any technical difficulties during rehearsal and please let the coordinator know.
**Other notes for shooting**
* Please let your computer at the eye level, it creates best view for audience
* **Please don't put your laptop below your face level, this angles makes it easier to have your face looks rounder on the camera
## Before the Talk
* Please make a appointment with the speakers 5-10 before the official talks to go on Google Meet
* Google Meet please ask for line from COSCUP
* Check the internet is working
* Check the resolution on the computer: It's not blurry
* If the resolution is not ideal, please check the internet connection
* 4K screen might encounter issue- under streaming condition please turn on HIPDI to enlarge the fonts, if issue occurre please refer to the solutions below
* Ask the speaker to enlarge the font
* Ask the speaker to turn the resolution down
* Screen,slides got cut
* Slides got cut, please check the resolutions of the computer
* If the resolutions are good but the problem continues, please adjust the item/list to all big or all small
* Please remind the speakers there's a bar on Google Meet software when presenting, keep in mind to level all the slides above the bar to not block all the content
* Please check the screen: Please check the share screen on the speakers as" the whole screen"
* Check the each slides on the presentation are shown(please run through them from beginning to end)
* Please check it works well to switch to webpage or demo mode
* Attenion: Basically, as long as it doesn't stuck while run through the slides then it counts as success!
* If there's need for playing the video, please check if the video works
* If it's not working please check if there's another monitor. After connecting with the externa moniter please pick" only show computer screen" or " only show the second screen"

* Please remind the speaker to prepare the backup plan when the video doesn't show
* Sound
* Plese check mics condition
* You can hear the sound without any buffering
* As long as you can understand the speaker throughout then it counts as success
* Other
* Please remind speakers the privacy issues
* Don't show any inappropriate content, ex personal email, work email etc.
## All the issues might occur- Talk in process
0. COSCUP Remote Talk. **COSCUP issue Google Meet link to everyone conducting remoate talk**
1. If speakers worry any technical issues, you can **provide videos to the organizer** It can change to video at any time
2. **Please check all the telecom devices, if there's any issue please let the organizer know**
3. Possible issues and solutionsEX.
> We cannot guarantee it can be resolved on the spots, so please have all the organizers of each track prepare backup plans.
* Internet
* When there's delayed, disconnect or other issues, please after 5 minutes, the organizer need to decide whether to cancel or to replace it with video presentation
* Screen
* If the slide got cut please make sure only one screen is working and try to adjust the resolution of the computer
* If the whole screen got black out, please exit the link, and re-login into the link, then pick "share the whole screen"
* Sound
* Please test it out before the talk starts,make sure the whole areas within the room can hear the speakers without any difficult
* If it's silent, please check the headphone and mic are working
* Check if the system has turned on the mic permission
* Check Google Meet is on the currently using the mic option
* For remote speakers, there should be one person in Google meet to do technical troubleshoot also assist with QA
* It's recommended to have headphone and cellphone ready to join Google Meet's link, and the mic on laptop is muted is the best to reduce the echo issue.
*When there's loud echo
* First, please make sure if headphone is in place or not, if not please use the headphone sets
* Second, if there are two pics are on at the same time, please turn off one of them
* If the issues are soloved, please make sure to turn off all the eletrocities or change the location
#### Others
* For remote speakers please have recorded videos for the organizers-Preferable
* For this year, remote speakers the preferable way are as following: Pre-recorded video, speakers can stand by to interact with the audience, last option will be live with Meet link for their talk.
* Pro:
* When the internet doesn't work, the speaker doesn't show, the talk can still run
* Provide recorded video to COSCUP, the team will upload the video directly, and play the video in the conference room
* Attention
* COSCUP cannot gurantee any internet issues
* Recorded Video Section and technical troubleshoot are a bit complex, it will be discussed further
* Please have all the organizer of each track to decide if they want to do live talk
