# RustWeek 2027 Planning

Learning from 2026: Plan further ahead, reduce load on RustWeek organizers.
Accomodate for rising number of Bevy contributors.

## Health & Safety

- Provide Covid Test & Masks for unconf (conf usually covered by RustNl)
- Encourage testing and masks more?
- Check if anyone has immune deficiencies and benefits from stricter enforcement of safety procedures


## Venue

In 2026 we outscaled the room (or catering bill) provided by RustNl at DUS, so we had to split up.
Ideally, it would be nice if all Bevy people could stay together. On the other hand, it can be nice (especially for ppl like Alice) to sync up with the Rust maintainers.
Ideally, find something close to Utrechr Centraal so it's easy to reach for everyone.

- Kinepolis room? Might be able to get special deal through RustNl folks. 2026: 450€ for the speaker's room
- Shared workspace?
- DUS, but enough room / catering for all Bevians? Rotate groups that join the allhands? 
- Utrecht University Library?
- Also organize sufficient power plugs
- Ask what kind of budget we can get from the foundation
- Creative Valley Nest, located next to Utrecht Central, offers meeting spaces but will need to verify prices and food situation

## Food & Drinks

- Catering?
- At least provide water
- Organize at least one dinner with everyone together?
- Mind dietary requirements (e.g. vegan)

## Communication

- Separate Discord server or space in the main one?
- Make it possible to ping all participants
- Spreadsheet for signup
- Have an overview of locations and plans throughout the week

## Unconf

- Which format? Again hackathon or more talks etc?
- Find topics to discuss / work on

## Planning

- Democratize organization? I.e. assign every paeticipant a small task so nobody gets burned out. Ideally small groups for each task in case somebody gets sick etc

## Goodies

- Stickers
- Earrings
- Pins
- Option to buy merch (without the shipping cost)?
- Bevy-themed masks (to increase incentive to use them)?
