You are receiving this email because you are a registered participant in COV12. Please excuse this long email, but we wish to send some useful information as you prepare your travel. We encourage you to visit the http://cov12.org website to find more information about travel and the conference program at https://congress.iavceivolcano.org/program/ . Direct lin:s to information about logistics of travel in Guatemala along with safety advice can be found at https://congress.iavceivolcano.org/information/. Arrival in Guatemala and Transfer to La Antigua Guatemala: Most international travelers will arrive Saturday or Sunday February 10th or 11th. Transport to La Antigua Guatemala (1 hour to 1.5 hours away) is possible with official taxis, and transfer minibuses at the airport, but it is also possible to book a secure transfer (in advance) with our partner, Puntual Tours (Facebook /puntualtoursguate). On both Saturday and Sunday Puntual Tours personnel will be dressed in (red) COV12 Staff t-shirts (with conference logo) and greet arriving passengers outside of Customs. Cost of transfer to your hotel in La Antigua Guatemala is 200 Quetzales (or Puntual Tours accepts $25) per person and should be arranged in advance through email: puntualtours@gmail.com, or WhatsApp: (502) 5129-2222. Note that it may still be necessary to wait for up to an hour so that Puntual Tours vehicles are filled. Although not guaranteed, it may be possible to obtain a transfer with Puntual Tours without a reservation. Look for personnel dressed in the COV12 red staff t-shirts who will be located at the Cafe Barreto (to the right after leaving customs). Please consider acquiring some local currency at the airport (or beforehand) as it is useful to have on hand for many transactions. It is possible to exchange money at the airport or retrieve cash from secure airport ATM machines. The exchange rate is currently about 7.6 Quetzales to the US dollar. Registration Day: Participants are strongly encouraged to pick up their conference packets and badges on Sunday at the San Jose del Viejo church, which is next door to the Porta Hotel conference venue. Registration desks will be open from 1 PM until 7 PM. Please bring a paper or electronic copy of your registration information and identification to ensure an efficient process. Registration desks will also be open on Monday morning at 8 AM at the Porta Hotel. Note that you will need a participant badge to enter the Porta Hotel conference sessions, but you will not need a badge to attend the morning public opening events in Cesar Brañas Auditorium. During registration check-in you will have the opportunity to book your time preference for the Wednesday field trip. We will do our best to honor first choices for field trips, but appreciate those participants willing to be flexible for field trip choice. After registering on Sunday, February 11th, there will be an icebreaker and informal social event at Casa Convento. Further details will be included in the registration packages. Presentations: If you are presenting you should already have information about your presentation style (poster/oral/lightning) and the format or talk duration (note these are different for different oral sessions). Specific questions about presentations should be sent directly to session conveners. Note that it will not be possible to print posters in La Antigua Guatemala. Information about presentations, and how/when to upload slides will be provided in the coming days at https://congress.iavceivolcano.org/program/. Changes: If your travel plans change and you can not attend COV12 please reach out to cov12antigua@gmail.com. If you are unable to attend your session please also contact your session organizer/convener as this will allow for alternative arrangements to be made and the opportunity to present offered to other participants. Access to conference venues and sites around the city of La Antigua Guatemala: During the conference a number of venues around La Antigua Guatemala will be used and will involve walking times of between 10 and 20 minutes to some sites. The streets in La Antigua Guatemala are also unevenly and roughly paved. We recommend you keep this in mind when considering footwear. Transportation alternatives will be available for those with mobility concerns. COVID: Recognizing that conferences are potential superspreader events please do everything possible to stay safe and keep others safe. As with all conferences this event will be a dense gathering of individuals. We ask you to stay in your hotel if you feel unwell and encourage everyone to mask up as a precaution even if you are feeling well. T-shirts: A limited number of COV12 t-shirts will be on sale for 120 Quetzales at the conference available first-come first served. These will be available for purchase with cash and will help to fund our volunteer program. There are still opportunities for Workshops: The online registration portal is now closed for optional activities, but it may be possible to attend a workshop with permission from workshop leaders. Note that these activities take place at the Porta Hotel conference venue. Cash registration fees of 75 Quetzales will need to be paid in person. There will also be two intra-conference workshops that will take place after regular sessions on Wednesday February 14 and Thursday February 15. Notably, the Volcanology Oral History Project workshop starts on Sunday February 11 and continues all week.
