## Agenda
- Update on lease signing, and discussion on if we ask landlord for help with floor
- Budget for initial building work, and how much to try to collect in loans
- How to manage and engage potentially interested members
- Open doors event
- And start the big discussion about values, inclusion etc, see messages of Stine @m30w21 @abbyapril et al.
1. Define the purpose of our community. Clear goals and objectives on what we are trying to achieve , written down, with building the community in the space.
2. Agreeing on member persona. What are our target member profile? What kind of people do we see in the space? Once we have a clear definition on what kind of members we want, it is much easier to recruit folx to join the community. If the potential members don’t understand what our community is about, or their values simply doesn’t align with our community, there will be no incentive for them to join.
3. Determine our Core-members. We need to have an internal structure set in place to manage the community. Core group if you will. It is important we have specific jobs set in place for a day-to-day running of the community and for our members to easily know who to speak with for feed back, troubleshooting problems etc, and generally just making sure everything is running smoothly. How do we vote on changes to the house rules or bylaws?

### Discussion on details of the contract signing.
Signing is on November 30th
Happy to sign as aval on the contract: Nick M., Abby, Ugo, Peter

We should be able to invoice members who want to write the cost off as a business expense.
We will probably need to sign over the electricity and water contracts and pay pro-rated amounts from December 1st
### Reformas, entering the warehouse
How much money do we need to pay upon signing?
By Nick's calculation 5128€ - 800€ already paid = 4028€
We should be about 300€ short that we need to borrow from members.

In short, we need an additional ~2800€ for security, floor repairs, paint, workbenches, general reformas when we enter.
For a grand total around 3100€ in loans from members.
Some discussion needed on terms of the loans (amounts, repayment timeline, paperwork/contract)
We should ask the landlord to help pay for the self leveling compound to repair the floor.
They seem pretty relaxed with us generally improving the space. Their main concern: we provide a receipt for materials and the amount may be deducted from the next month's rent.
Otherwise do we need recognition in our contract that the floor's condition will get worse (from a pretty bad starting point).
### Onboarding and member admin
**All members need to start paying their dues next month.**
Nick M. to send a reminder to members with a member number for each person to better keep track
We will need a piece of ID (and ID number) for each member.
Members will need to sign a waiver of responsability (Ugo has a template from the previous asso.) and they agree and are opting into the association's bylaws and rules.
New member onboarding: we need to come up with a process for onboarding new members.
**Tanc is "happy" to create an onboarding page on notion with info and docs needed for starting.**
What is our application process?
Referral system will help, or having members on a trial system for some period of time before being fully vetted and given keys.
Having a buddy system would also be very useful to help people integrate and limit faff.

We have a form that we previously used that can be adapted to onboard the Made members that have shown interest in joining. **Abby would like some help with the onboarding.**
**Set up a spreadsheet with the names and contact of the people who are interested but might not be on Telegram.**
### Open doors Sunday 3rd Decemberd 12-17h
We won't have much done in the sapce, but we can use that oportunity to work on the space.
Let's get some beers and some snacks and make a day out of it. Hopefully we should have Abby's fridge and a tiny grill in the space.

Keep in mind this is an ongoing process we have started but that will take a few months to fully iron out.
We all have a right to recognize we are wrong, to say we're sorry, and have an opinion.
Inclusion as a shared value, but not absolute. Acting against the norms of the association or hurting other members will not be tolerated.
Diversity and linguistic inclusion.
Values added in the bylaws of the association.
Acknowledge the volunteering nature of membership. Everyone is in it together.
Responsabilities of members, private/communal spaces and tools.
Expectations of the space.

Peter is possibly interested in renting private space rather than a standard membership
The made-bcn.org domain is under Ugo's control currently but will need to be transfered from the current owner of the account.
## Next meeting's agenda (December 7th)
- Application process for new members, temporary membership, vetoing, etc.
- Remind interested prospective members to come to the open house on
- Weekly open day, one evening every week when some members are there to give people a tour and show the space around, for recruitement.
- Social media, website, logos, etc.
