--- title: Chairs Meeting tags: Meeting Minutes, 2022 --- # Mentoring catch-up - Chairs 6/7 September 2022 **Present:** Nate W Jay T Riaan K **General Agenda** (not all points covered; reserved for future WG disussion) * WG actions/follow-up * Review LFX process > mapping and improvement areas * e.g. What happens once mentor evaluation feedback is received mid-Semester? * Revisit survey; review alongside Contributor Survey currently in development * Identify priority areas to increase support/address issues (as below also) * Strategy: Overall programmes and NZ alignment * Coordinating other WG members/focus areas * Systems and infrastructure e.g. CRM * Maintainer documentation doesn't exist, mentor resource support * Inventory of existing reference/support material * Slack channels (kill the bot?) * Outreachy 2023 * KubeCon presentation; general content and format --- **Website** The need has been identified to create an accessible, easy to navigate website to help new/ongoing mentee/tors understand relevant information. Current reference points include: * Mentoring Repo * Slack channels inc. bots * LFX website * Linux docs which outline rules/expectations for mentees/tors Although informative, these references make it difficult for potential Contributors to orient themselves with the environment. Nate has been communicating w/ Charley Mann (CNCF) who led the development of the Contributor.io site, who has confirmed that we are able to create a similar Mentoring.io resource. ***Next actions will include working through the repo and determining what content can be separated/redirected to the future website.*** Will also look at inviting Charley to a future WG meeting to engage with the group and better understand the need/purpose of the resource. --- **Mentee/Mentor Process Improvements** Communication and clarity around expectations have been identified as clear areas needed for improvement. The lack of consistency and understanding has raised various issues in previous Semesters, including: * ill-defined tasks and responsibilities; * inconsistent feedback and check-ins; * and in worst cases, *failure of the mentee* resulting in no stipend payout.
