Notes

  • Alex updated on following:
    • He was completing health and safety forms
    • Had shared email with lists, added page to forstaff events, shared across available teams channels
    • Had 122 registered interest, 13 (one duplicate) abstract submissions
    • Booked a new "mess" room in Worsley for 2 days 9.57
    • Soft launched website - https://rescompleedscon.github.io/conference2022/
    • Working with Lucy re quotes for catering
    • Prepared registration page and questions
  • Moved onto matters arising:
    • Graham reported back on recruiting panel members for open research panel
      • Bernadette Moore has agreed to be on the panel who leads Open Research Group
      • Also spoke with some early career researchers like Eike Rinke, Nick Sheppard in Library will also get some more names
      • Asked whether we could draw up a conference abstract to provide to panel members to help them place open research in context of conference ACTION for Alex
      • Also suggested inviting questions to panel prior to event in email to registrants
    • Sarah reported back on ideas for the sustainability in research computing panel
      • Inviting someone who did coarse grain simulations to talk about that approach to computational modelling
      • Invite a member of Research Computing around efficient code on HPC ACTION for Alex
      • Viktoria suggested inviting someone from Green and cloud computation group at Leeds Beckett ACTION for Viktoria
      • Could we find someone using HPC for sustainable development ACTION for Alex
    • Abstract submission status
      • Consensus was that we could expect more submissions closer to deadline
      • Alex is away next week so agreed we would move submission deadline back to 1st July (still gives 3 full weeks to confirm schedule)
      • Alex clarified for Elton that submissions selected multi-choice for format to help us determine schedule
    • Registration opening
      • Alex proposed opening registrations today after everyone had had the chance to look at form and questions
      • Structure of tickets would be 100 for UoL, 20 external, flexible if needed but within 120 capacity
      • Sarah Harris suggested adding a "What are your research interests (optional)" question, which was agreed
      • ACTIONS for Alex - add new question, go-live with registrations and circulate
    • AOB
      • Closing keynote speaker, Graham suggested University chancellor Jane Francis - ACTION for Alex
      • Alex had set up a generic gmail for conference and wanted 2 additionals to recieve forwarded messages, Anna and Viktoria agreed
      • Agreed to meet again in 2 weeks on Thursday 30th June at 2pm

Actions & Decisions from previous meeting

  • Code clinic on day 1 will require submission of issues to help structure/group work
  • Lightning talks will include poster presentations, 5 slides 5mins for lightning, 1 slide, 2mins for poster
  • Graham was going to look at getting some names (4-5 people) together for the day 1 panel on open research (including a chair), any suggestions please let me or Graham know
  • Sarah was going to look at finding some panel members (4-5 people) for day 2 panel on sustainable research computing, any suggestions please let me or Sarah know
  • The abstract acceptance working group would be led by Elton supported by Martin, Georgette and Anna
  • Alex and Lucy were going to look at sorting catering and get a quote of Opposite
  • Lucy was going to share with Alex targets for getting event advertised in Internal Comms and doctoral college and other newsletters
  • Alex was going to contact mailing list administrators
  • Everyone, was to think of suggestions for closing key note speaker
