--- tags: temporal --- _This document is temporal: it is not meant to be updated after 2020-02-23_ # Workplan prep meeting Meeting taking place 2020-02-23 about the workplan in preparation for the Scicloj workplan meetup. We've got some slotted time during the ClojureD meetup. How can we best use that time? Attending: Ethan, Daniel, Sami, Teodor ## Workplan prep meeting topics I (Teodor) seek to understand what we want to achieve during the meeting, so I've gone over the references I could find in the Zulip chat, and tried to reduce them into topics. The topics are meant to be clarifying and informative, not as a hard agenda. - The workplan gets a major time slot during the ClojureD Scicloj meetup - We'd like to get the workplan in a finished state for ClojureD - During the _Workplan prep meeting_, we'd like to reach a consensus on whether the Workplan is ready to be released as a non-draft by the time of ClojureD. - Opinion (Ethan): a good target for the scicloj meetup would be assiciating people with projects. - Opinion (Ethan): we should use the _Workplan prep meeting_ to discuss how to best facilitate accisiating people with projects during the meetup - Opinion (Daniel): Maybe not just discuss how to associate people with projects (as responsible/participating in this projects), but also how to encourage people to get involve and offer them clear paths to do so (e.g., write tutorials, give talks, pair with library authors). - Opinion (Teodor): The workplan is reaching a high-quality state, whereas the projects might need some work. - Opinion (Teodor): Can we spend some effort _improving_ the projects during the meetup? - Opinion (Daniel): Discussing the workplan at the meetup may not be a good way to give it focus. Rather, it may enrich the draft of the next workplan version and add refreshing ideas to it. Many of the people in the meetup are not part of the organizing team, and may be new to the problems we are discussing. Of course, the meetup *cannot* be a *decision making* forum for the workplan, as it is not accessible to the whole org team. The meetup *can* be a place where we create *recommendations* for the organizing team and the workplan team. - Comment (Teodor): Getting coverage on what we haven't considered sounds like a good idea. ## Workplan prep meeting open questions Feel free to add points here that aren't as clear as they should be. - When should the blog post be released? Do we want it out _before_ the meetup? ## Appendix: Zulip chat comments The topics have been collected from comments. Read this section to see where the topics came from. ### Zulip message Ethan 2020-02-02 10:49 PM > @Teodor Heggelund I'm going to give the whole workplan one more read today. There's another development too, which is that @Sami Kallinen has slotted a nice amount of time to talk about the Workplan at the upcoming meeting in Berlin. Are you planning on attending? > > In any case, given that development, one thought is to try to wrap up a draft and then get some sort of confirmation/decision of completeness for that revision -- the thing being a living document it isn't done -- prior to the meeting at the end of February. We wanted to get on a call with you and @Sami Kallinen to discuss what to do in the meeting session. Sami has some lovely ideas about how to facilitate encourage conversation. > > I know that's a lot. But what do you think? Perhaps the biggest difference from our prior idea about how to proceed was that we'd forego an in-person call to ratify the version in favor of doing it in the channels here, with the expecation that we'd get a lot of good input, perhaps leading to another draft, from the Berlin meeting. > > Aside from the benefit to the workplan of discussing this at the meeting, there's also the chance that the workplan may start to have an impact on the community itself. Summary Teodor 2020-02-22: - The workplan gets a major time slot during the ClojureD Scicloj meetup - We'd like to get the workplan in a finished state for ClojureD ### Zulip message Ethan 2020-02-03 7:23 PM > @Teodor Heggelund I'm not 100% sure if @Daniel Slutsky wants to be on that call, but @Sami Kallinen had some interesting thoughts about how we could stage/facilitate a useful/creative discussion about the workplan. Re: next steps, without going into detail, I think we want to 1) polish up the doc in the next week or so, and then 2) see if we can marshall a kind of "agreement" about the current state of the workplan in the channels here in the absence of having another big group call before the meeting -- as that might be hard to pull off. Finally, I think we'd also want to 3) therefore put some concrete ideas about how to associate people with these projects into the workplan, which of course would end up being a matter of discussion during the meeting. > > Does that help? Do you agree with this? Summary Teodor 2020-02-22: - During the _Workplan prep meeting_, we'd like to reach a consensus on whether the Workplan is ready to be released as a non-draft by the time of ClojureD. - Opinion: a good target for the scicloj meetup would be assiciating people with projects. - Opinion: we should use the _Workplan prep meeting_ to discuss how to best facilitate accisiating people with projects during the meetup ### Zulip message Teodor 2020-02-22 09:33 AM > On the topic of our meeting tomorrow: > > - I sense that Ethan and/or Sami would like to use the ClojureD meetup to associate people to projects. I think that's a great idea. > - If we manage to "divide up into groups", I'd love for us to get some time to work on the quality of the specific projects as well. I feel that the workplan is reaching a state of quality that I'm happy with, whereas some of the projects in the projects document could use some work. I think it would be nice to have a chance to dive into the specific projects during the meetup. The projects page would also be a nice place to get a real "deliverable" back. > - If we want to spend some time on the projects during the meetup, it would be good to discuss _how_ that kind of improvement might look. What's a good project? Personal opinion: if one can read the project description, see what the goals are and easily make a contribution, that's good. I'd love to hear what you guys think about this. Summary Teodor 2020-02-22: - Opinion (Teodor): The workplan is reaching a high-quality state, whereas the projects might need some work. - Opinion (Teodor): Can we spend some effort _improving_ the projects during the meetup?
