## Prelims
* Chit-chat
* [x] Determine scribe: Erwin
* Call to order at 20:50
## Agenda
### Action Items
### Volunteers' status, by team coordinator
* Tech team
* Marx volunteers to co-ordinate the team
* Disband on-site team
* Programs
* RK, we haven't had recent meetings
### re sotm2020, fossgisuk, gisna
* Maning
* pre-recording is okay, but requirements (e.g obs) is probably a hassle for most
### sponsorship & collaboration
* AGREED: no change in sponsorship tiers since we already received funds from sponsors using the same
* revise and communicate with sponsors re suitable banner ad replacement
* follow-up and encourage sponsors to participate as presenters (talks, workshops, keynote)
* Marx to follow-up with UPD department/faculty/orgs for interest in
* presentations for the ~~Academic~~ Research track
* RK opines on "academic track" having some "baggage" or expectations we may not be able to manage
* "Research" can happen in academic or business units
* Marx to touch bases with contacts from TCGEP(?) re workshops with academic credits/certifications
* Marx wants to clarify whether we're looking for co-organizers, with regard to TCGEP collaboration
* Erwin and Maning will meet-up on W29 to finalize sponsorship tiers changes and comms
### Program
* AGREED: set for November
* ==tentative== 3 x Fridays : 13, 20 27
* Stipend/Token gift for presenters
* Marx: in the marketplace, anywhere between 1k to 6k per hour
* ==tentative== 1.5k per presentation, except for lightning talks
> free tees, for lightning talk? [name=erwin]
> Perhaps in the call for presenters form, we could add a check-box whether they want to waive this offer, or direct the money to a charity (e.g. our previous plan for tree planting? 1,500 = 150 trees)
* Follow-up with these folks who are likely to be keen to present:
* Facebook
* Mapillary
* Aaron Opdyke/ Sydney University
* OSM work in Carigara LEY, and their paper: "An Open Data Approach to Mapping Urban Drainage Infrastructure in Developing Communities
* There were no consensus on how to spread tracks/themes across multiple days.
* Program team to discuss further
### Tech Team
* Marx volunteered to coordinate the Tech team
* call for volunteers
* Team will be responsible for
* supporting the back-end operations for pnm20
* evaluating the conference platform
* AGREED: FOSS-first (e.g. Jitsi) but will evaluate Zoom, etc for feasibility
* considerations: privacy and security
* license: FOSS vs proprietary
* usability and features
> there is a standing offer from FEF to let us use their Zoom account for the event
* determine whether the WeMap approach can be used in PnM
* we can pre-record on secret Jitsi session
* Marx wondered whether it's a good idea to make pre-recordings available before the PnM public sessions, to allow deep participants interaction during Q&A?
* during pnm, show video live during the public session
* utilize YouTube for recording and streaming (no cost for us)
* live Q&A afterwards
* those having connectivity issues will be directed to YT for a slightly delayed broadcast
* this approach will create two types of recording in our YT channel
* presentation recordings
* live show of presentation with Q&A
#### Etcetera
* BoF session proposal with OSM Asia folks
* In a meeting with SotM Asia folks, maning invited them to participate/present in the PnM event for November
* one of the ideas is a tapok-tapok session with OSM in Asia folks
* sotmasia21 will be hosted by Sri Lanka
* no details about online sotmasia21 plans
* Erwin proposed a poster-making contest in lieu of logo-making contest since Cham already invested a lot of time and effort in the current design
* Maning: in sotm20, poster-making didn't make any significant impact
* Erwin: contests should contribute to helping promote awareness for the event
* Erwin to discuss proposal with Cham/Marketing
