* Principle: Build a new working system before breaking the old one
* Rationale: Why do we need a mail server anyway?
* Every organisation needs to contact it members from time to time, e.g. general meeting announcements
* Mailing lists run by third parties usually have to be "opt-in", so when you move from one provider to another every member has to re-confirm
* When we run our own one, we can just add people directly when we are sure they are consenting to that
* What are the pros and cons of hosting email ourselves?
* Pro:
* The same service keeps working with almost zero effort year after year (3 hours/year dealing with spam?, so far 2011--2024)
* More storage if we host ourselves, no limits on usage. (Currently running on a 32GiB storage AWS EC2 VM)
* Con:
* Migrating the email service to mailman3 is more time consuming then using a 3rd party service.
* What are the pros and cons of hosting email using a 3rd party service?
* Pro:
* It's a lot simpler.
* Fewer subscribers will re-confirm and stay active. (Not necessarily an issue, if people don't want to subscribe again that's their choice.)
* Con:
* It's a lot more complex.
* This can be outsourced, but we have extreme difficulty onboarding occasional committee members into every third-party service we use.
* Subscriber's consent is no retained and is asked again for the new service: 90%? of subscribers are not very active and will not confirm a new invitation request, some will be annoyed at being asked again. (This might be pedantic.)
* If we ignore opt-in, our mails will look a lot more spammy/marketing
* Would we be willing to transition to a 3rd party email service?
