# CPE warranties There are 2 spreadsheets which have all the information about our servers and warranties: Fedora: https://docs.google.com/spreadsheets/d/1jD3jP2v9Yb45rdjXifhsd2RCV2MYHqN5HVvYql40MUg/edit#gid=990116467 Centos: https://docs.google.com/spreadsheets/d/1K-aewLJ17z3pRC6K5qyBRJYtNXy1WcxRSVwPkGf4NXQ/edit#gid=1721030762&fvid=37033286 Each year around September there will be an opex budget made available for warranty renewal(Usually an email from Leigh) When this email comes in we will need to go through the 2 spreadsheets above and check what machines are close to end of warranty i.e. expiring before the end of the next year. Create a new tab on each spreadsheet and call it `CY<Year>_Warranty_renewals` Copy over all the servers that are possibly due for renewal. Next go through these and eliminate any which it wont be possible to renew. This is not always obvious and will likely require discussion between admins. Some reasons may be that the hardware is too old or that the machine type is no longer available for warranty due to parts no longer being avaialable such as Lenovo HR350A machines. If in doubt leave the server in the list and the vendor will be able to tell you if warranty is no longer available. Once the list is curated go to the source page to check for approved hardware vendors: https://source.redhat.com/groups/public/pnt_performance/capex/new_wiki/approved_vendors_for_pnt__cee Usually redapt or CDW but check the sheet just in case. Contact emails will be provided. Send a mail to the relevant vendor with a list of the servers including the `make, model & serial number` of each server and ask for a quote to extend the warranty to the end of the next year. We only do one year at a time due to budgetary restrictions. When the vendor comes back with the quote review it with the relevant infra lead (Kevin/Fabian) and see that everything is as expected. Some servers may not be possible to warranty or if over budget it may be necessary to prioritise which ones will go without warranty. Once all is agreed it will be necessary to raise a purchase order for the warranties. Generally I ask Aoife to do this but it may be necessary to get access/learn how to do this ourselves in future
