This document was created on March 19th, 2020. --- Welcome to the Mayflower LETI: Admissions Office Handbook! Our handbook covers crucial information that you will need to uphold your duties as an Admissions Officer. We encourage you to read through this handbook thoroughly. If you have any questions, comments, and concerns, feel free to contact the Admissions Supervisor or the Director. The Admissions Office has a budget of 10 operators. There will be nine admissions officers categorized into three different sections to efficiently conduct their duties. These sections are: - Application Reading - Record Screening - Background Screening Once assigned to a section, this will be your primary responsibility. You will not be allowed to cross-work in different sections without permission from the Admissions Supervisor or Director. This regulation is in place to lessen the workload per officer and create a fair opportunity to reach the quota. Applicants, from submission, will undergo in order, four different processes. These processes are: - Application Reading - Record Screening - Background Screening - Final Processing Throughout each process, the applicant will be thoroughly scrutinized for their general competence, motivation to complete the institute, and overall positive character. --- ## Enrollment Tracker Admissions Officers will utilize the Enrollment Tracker which is found [here](https://docs.google.com/spreadsheets/d/1OlJPYJ131yojVhALYFV7AqV0T1K7PNgw3xSWWx7jxZM/edit#gid=1266185736) This tracker allows the Admissions Office to keep a clear tab on applicants. From submission, applicants will need to manually be added to the tracker. You can do this by opening the enrollment application form and then copy and pasting the username onto the tracker. After you have added an applicant, all processes must be marked “Pending”. --- ## Application Reading Application readers will need to go through the enrolment application form and admissions control centre. Application readers will go through each application individually and assess the competency, effort and content within each answer submitted. After the reader has made their decision based on the assessment of each answer. The reader will mark “Application Status” to their verdict whether it is “Approved” or “Denied” - If the application was approved, the reader will need to select their name from the drop-down box under “Application Reader”. - If the application was declined, the reader will need to mark the remaining processes as “Declined” and select their name from the drop-down box under “Application Reader”, “Record Checker”, and “Background Checker”. --- ## Record Screening Record screeners will need to have the “New Haven County” game and tracker readily available. Record screeners will then go to a police station to utilize a computer. Usernames will be inputted to the system and screeners must ensure the applicant does not have any criminal history within the last four weeks. If you are unsure when the three week mark is for any enrollment period, the date will be displayed above “Record Checker” on the enrollment tracker. - If the applicant is cleared, the “Record Screening” process will be approved. The record checker will need to document their name under “Record Checker”. - If the applicant does not meet the record standards, the “Record Screening”, “Background Check”, and “Acceptance” processes will be declined. The record checker needs to document their name under “Record Checker” and “Background Checker”. --- ## Background Requirements Admissions officers must verify each applicant meets the background requirements before moving onto the final process. It is up to the admissions officers responsible for background screening to make a decision, however, please utilize fair judgement. - Account must hold citizenship with the State of Mayflower - Applicant must hold a valid Discord account - Applicant’s Discord account age must be greater than 100 days - Applicant must be in the main State of Mayflower guild. - Applicant must have at least 10 total messages. - Applicant must be in the mayLETI guild. - Account must not have any moderation history within the past 4 weeks - Account must have been online within the past 14 days - Online status can be checked [here](https://www.roblox.com/games/3616225026/Last-Online-Checker) - Account age must be greater than 90 days - Account must have some friends and followers - Account needs to have some groups and favorited games - Account must have 90 badges per year of account age Properly performing background screening, if assigned, will be your responsibility. If you fail to properly screen a player background, you will be held accountable. --- ## Final Processing The Admissions Director and Supervisor have the final say on each applicant. This stage will be used to decipher and finalize a class roster. - Once the last applicants are moved to the final processing stage, the admissions supervisor will go through each applicant and determine whether or not they should be admitted into the institute based on their checks. - The Admissions Supervisor has the right to make exceptions for applicants if deemed plausible. - Once the admissions supervisor concludes their final processing, the admissions director will review the supervisor’s work and make a final decision for each applicant. - After the admissions director has concluded their checks, a class roster will be formed and finalized. - Once the class roster is finalized, no more exceptions or exemptions may be made.
