# AI UK 2024 Speaker Logistics

This document contains general information for all speakers participating in AI UK 2024. If you have specific questions about your session, please contact Lily Hughes (Events Producer) directly.

## Dress code :necktie:
A smart casual dress code is advised (but not required).
Clothing should be able to accommodate a mic pack i.e. we recommend wearing something with pockets or a waistband.
Please note, all the stages are raised. If you plan to be seated for your session (e.g. if you are part of a panel discussion), we recommend wearing trousers, a long skirt, leggings or dark tights.

AI UK is taking place at the [Queen Elizabeth II Conference Centre](https://qeiicentre.london/) in Westminster on 19 and 20 March 2024.

When you arrive, **please check in at the Speaker Registration Desk** to get your AI UK speaker pass. This will be signposted on the overhead screens in the main reception area.
Your Speaker Pass will give you full access to all of AI UK. The Registration Desk will open at 08:30am both days. Once you have collected your pass, please feel free to come and go as you wish.
There is a secure cloakroom on the ground floor of QEII just past the Registration Desks, should you wish to check a coat and bag/s.

## After you check-in :coffee:
After check-in, **please go to the green room for your stage or to the workshop space for you workshop.**
Volunteers will be on hand to guide you to the green room or workshop space.
(If you checked in more that 30 minutes before your session to enjoy more of AI UK, please head to the green room 30 minutes before your session starts).
You will have the chance to freshen up, grab a tea or coffee and meet your fellow session speakers.
## Before your session :microphone:
A volunteer will meet you in the green room and escort you backstage. Our sound engineers will set you up with a mic and you will have the chance to review any slides or media you sumbitted in advance.
If your panel has a virtual participant, they will be live on a call backstage.
For workshops, you will have access to the Workshop Space an hour before your sessions is due to start. Please feel free to set up the space as is best for your workshop, however, we ask you to return the room to the state you found it at the end of your workshop.
For every session, stages are set with fresh water and clean glasses. For workshops, there will be a catering zone just outside the room, which will be restocked throughout the day.
Volunteers will be on-hand to assist with any last-minute requests.
## Slides and audiovisual media :video_camera:
The stages and workshop spaces will have screens to share slides and/or audiovisual media.

### Tech Specs
For PowerPoint presentations, please use 1920x1080 resolution. We can also accept PNG files as slides.
For video playback, we ideally want ProRes MOV files, however, MP4 files will also work. We can also accept either HD or 4K videos at any frame rate but ideally either 50fps or 25fps.
The venue will have WiFi but we strongly encourage all videos to be downloaded or embedded in slides.
## Reception :clinking_glasses:
We invite you to join us for an evening reception with drinks and canapés to conclude the activites on Day 1, Tuesday 19 March.
The reception will take place in the Turing Hub (Churchill Room) on the Ground Floor of QEII from 5pm - 7pm.
## Photography and press :camera:
Stage sessions are livestreamed to a virtual audience and recorded for release at a later date.
There will be photography and videography throughout the event.
Press will be present at AI UK.
## Joining virtually :computer:
If you are a virtual speaker, you will be sent a calendar invite with a Teams link to join your session remotely.
Please make sure you have a good WiFi connection and join the call 20 minutes before your session starts to allow for a tech check.

## Chairing a session :speaking_head_in_silhouette:
We hope to create a warm, welcoming and casual feel to AI UK panel discussions, while encouraging the chair to shape the session with their own style and expertise. We welcome friendly debate and challenging technical content, but want to bring the audience with us for the duration of the session.
For all sessions on the Conversation, Future and Research Stages there is both an in-person and online audience (workshops, however, are in-person only).
We encourage audience Q&As as part of every stage session. We use both Slido and roving mics as a way for the audience to ask questions.
Each chair will be handed an iPad at the start of their session. The iPad will be linked to Slido so you will be able to see the audience questions as they come through.
All stages will have a comfort monitor with a countdown timer to help you keep the session on track. If requested, we can link Slido up to the comfort monitor so all panellists can review the questions, should you prefer not to use an iPad.
Where possible, we ask you to bring your chairing notes with you or have them digitally available to view on an iPad. However, we will have access to a printer if needed. If you plan to use the printer, please allow additional time for printing on site.
In addition to session chairs, every stage has a MC. The stage MC will open and close every session and be the one to welcome the session chair and speakers to the stage (however, we ask session chairs to lead the panel introductions).
## Workshops
There are two Workshop Spaces at AI UK.
* Workshop 1 (Olivier Room, 2nd Floor) - capacity 49 incl. speakers/facilitators
* Workshop 2 (Gielgud Room, 2nd Floor) - capacity 70 incl. speakers/facilitators
The rooms will both be set up cabaret style with round tables seating 5 - 6 people. Workshops are in-person only and there are no remote participants or facilitators. Workshops are not recorded by the AI UK team.
The rooms will have basic AV requirements (projector screen and mics), as well as flipcharts, pens and post-it notes for delegates to use.
