Incorrect info included on the Onboarding email (FAU, JJAY, and NYU Spring 2022)

# Incorrect info generated in sending the At-Risk email for WEB102 SECTION 2 FALL 2023 **When**: September 19, 2023, 1:07 PM MNL time **Incident**: Used an *At-risk email* generator that generated incorrect information **Details of the Issue**: - Last September 19, 2023, I set out to complete the sending of Level 1 At-Risk email to WEB102 Section 2 students. - I am handling this course as coordinator for the first two weeks since the assigned coordinator is still in training. - I used the At-Risk communications tool (automated through Google Sheets) incorrectly. - I pasted the Member ID first and dragged the Course and Level details to copy them to other cells - I overlooked the fact that when you drag a numerical cell data on Google sheet, it automatically ascends from Leve 1 to Level 2 to Level 3 and so on - The tool generated #N/A values so I thought that the tool did not work that time since the first time used it for AND101, it did not work for me. - Thinking that the tool failed to automate the emails, I left it open and contacted my lead Janah on Slack informing her that the tool seemed to fail and asked her permission to just send the communication via personal email this time. - When my lead checked the tool, it actually did not fail, and just had a delay in sending. - Unfortunately, the emails with incorrectly generated information were sent out **Corrective Actions**: - When Janah informed me that the emails were actually sent out, I immediately sent an erratum email to all students who possibly received the email - I monitored both my personal email and Zendesk for questions regarding this error - Fortunately, the erratum email was sent immediately and there was no case of confusion from students recorded **Root-Cause** - Dragging numerical cells without thinking that the data automatically ascends **Actions to Prevent Recurrence**: - Thoroughly filling out the Level and Course details on the automation tool and making sure that all data are correct before posting the Member IDs which triggers the automatic email
