# IOI Steering Committee recruitment + onboarding process

High level: This draft process below outlines the steps for recruitment and vetting for Steering Committee candidates, with support from IOI’s Governance & Nominating Committee.
## I. Recruitment
The period of time where an organization approaches a new steering committee member and engages in discussion to decide if board service is a good fit on all sides.
A. Meeting with management: Interview with ED and possibly other senior management
1. The Steering Committee will work closely with the ED and new members should learn about the ED’s working style and relationship with Steering.
2. The ED’s vision for the organization.
3. The ED’s perspective on the upcoming work of the Steering Committee.
B. Meetings with existing G&N Committee members: At least (2) 1:1 call or small group calls with existing Steering Committee members to cover the following topics:
1. Work of the board committees or other working groups
2. Culture of the Steering Committee.
3. The organization’s programmatic impact.
4. The growth needs of the organization over the new member’s term (1-2 years, option to renew.)
Interview questions (to be explored bi-drectionally, to learn more from the candidate, but also give them an opportunity to hear current Committee members’ perspectives):
- Why is this opportunity compelling to you?
- What do you want to achieve / do in this space?
- How would you articulate what you bring to this work?
- Where do you see this work going?
- What does contributing to that vision look like to you?
What we’re looking for:
- Does this person meet the criteria/scoping we set out?
- What perspective do they bring? Is that perspective already reflected by existing board members or a lot of other candidates?
- What spaces will they introduce the organization to?
- Also provide space for their questions about the organization’s priorities.
C. G&N meet to review, share feedback with IOI Leadership; decision to move forward with candidates or pause.
D. Review of documents: once a mutual fit is agreed upon, the new member should have access to the following documents in advance of conversations with management and board members.
1. Latest version of the strategic plan and supporting documentation, as needed (e.g., roadmap).
2. Financial data, including financial statements, budgets, cash flow, projections.
3. Staffing information, including an organizational chart, roles and responsibilities, general point of contact, and for subcommittees, vacancies and existing plans to fill them, and known upcoming staff changes/recruitment.
4. Operational information, including policy documents from Code for Science & Society, communication and meeting norms, and any other documentation created to support IOI Steering and governance.
5. Documents describing Steering Committee procedural and/or behavioral norms, roles and expectations, including code of conduct.
## II. Onboarding/ New member orientation
This is under development, with budget set for facilitation and onboarding for Steering. Tentatively looking at February 2022.
