Once your contract is signed, IOI and our fiscal sponsor Code for Science and Society (CS&S) will need some additional documentation in order to send payments to you. ## Account documentation Please submit the following forms (via HelloSign): 1. Tax form, select one of the following: - For citizens, residents, or companies within the US: [W9](https://portal.helloworks.com/link/7TgbmmYw8sCa78Jq). - For individuals outside of the US: [W8-BEN](https://portal.helloworks.com/link/ebDPA7WuEtSJGYSj). - For companies outside of the US: please email IOI a completed [W8-BEN-E](https://www.irs.gov/pub/irs-pdf/fw8bene.pdf). 2. [Wire transfer form](https://portal.helloworks.com/link/4fLHgH2Y9NsUIKuh). ## Contractor tax duties and liabilities Independent Contractors will be required to complete a W-9 or other similar IRS form relevant to foreign organizations prior to receiving any payment under this Agreement. CS&S, IOI's fiscal sponsor, will issue a 1099 or other similar IRS form relevant to foreign organizations to Independent Contractor if required at the end of the year. Independent Contractor understands that she/he is responsible to pay, according to the law, the Independent Contractor’s federal and state income taxes, and that Organization is not withholding or paying any portion of Independent Contractor’s taxes. If the Independent Contractor is not a corporation, the Independent Contractor further understands that the Independent Contractor may be liable for self-employment (Social Security) tax, to be paid by the Independent Contractor according to law. Overhead and additional administrative costs, including workers compensation, benefits, and other traditional "overhead" costs are the responsibility of the Independent Contractor, and will not be covered by Contractor payments by CS&S/IOI. ## Invoicing To invoice IOI: 1. Generate a PDF invoice for your work using the template provided by your supervisor. - Make a digital copy of the template. - Fill in your details. - Save as a PDF file. 3. Send the PDF file as an attachment to bills@codeforsociety.org and cc your project supervisor. - Only send one attachment at a time. - Send as a new email, not in a previous email thread. The billing software uses email threads to track approvals. Invoices will typically be processed within 10 business days after receipt.
