## **ADD NEW CAMPAIGN**
The campaign is a new project initiated by **Client** or **Clients of Affiliates** for Redstone Users through their Web portal as an achievable action for a designated goal.
There are two ways to add a New Campaign
1. Go to, 'Add Campaign' Tab.

2. Also, in Campaign Tab, a button can be seen 'Add Campaign' which can be used for the same purpose.

**Note:**
- Redstone portal allows only the client(s) to add/start a new campaign along with providing specifications
After adding a new Campaign, a new Window will open.
Here Client can fill in all the details with some fields being optional.





Client has option to upload the files now or later.

After filling out all the details Client must press the 'Upload Button'.
Doing this will add this Campaign to List and can be searched in 'Campaign Tab' afterwards.

## **HIGHLIGHT CAMPAIGN**
When a new campaign is added, it will be seen as highlighted to every user, once open it will be unhighlighted only for that specific user.
Go to Campaign, and you will observe the Campaigns are highlighted in the list.

Let's open one Campaign (for example 551).
If you check the list now, you will find the difference.

The idea behind this feature is to show the difference between the campaigns that are viewed or not by the Specific Redstone Users.

## **FILTERS**
Filtering is a search tool that lets users restrict their search to a certain section of a website or a specific document type.
Redstone portal allows to narrow and customize the search results to find exactly as per the need of the User.
In the Campaign Tab, you will find a Search icon at the top of Campaign list.

Clicking this 'Seach' icon will show option of all the filters that can be applied to Customize search


Following are the options that can be applied on filters:
* Due Date
* Campaigns that are (Due Today, Due Tomorrow, Due Date)
* Create Date
* The date the Campaign has been created.
* Start and End Date
* Campaign search through range selection of dates
* Status
* The status at which the Campaign is currently on
* Campaign Type
* Type of Campaign (Letter, Snap Pack, Post Card, etc.)
* Postage Type
* Type of Postage selected while creating the campaign (e.g., Permit Imprint / Stamp)
* Payment
* If the Campaign is Paid / Not Paid
* Location
* Searching using the Campaign work Location
* Distribution Type
* PMOD / Will Call / Drop Ship / Co-Mingle / Priority Direct
* Clients
* Search Campaign by selecting Name of Clients
* Coordinator
* Search by Selecting name of Coordinators assigned to the Campaign
* Sales Rep
* Search by Selecting name of Sales Representative assigned to the Campaign
* Sort by
* The whole list of Campaign can be sorted by (ID, Name, Due Date, Last Activity, Deliver Date, Read/Unread)
* Asc
* Sort list by IDs (Ascending / Descending)
Three more buttons can be seen at the bottom of the Filter selection
- **Search** , to filter the Campaign list
- **Reset** , to restore the customization on filters.
- **Hide** , to hide the filter menu.

## **ADD JOB**
Jobs are the achievable actions that are created and managed by Redstone Coordinators and Redstone users throughout the process until work is delivered.
These are tasks or segments of work to be done or undertaken within a Campaign.
To add a New Job, click on the Campaign Name.

Under Campaign, Redstone Coordinator can find a Section. Here they can Click on 'Add Job' button to initiate this task.

**Note:**
- Redstone Coordinator is not able to 'Add job' if the status of Campaign is **Pre-Processing**.
- Multiple Jobs can be added within the same Campaign.
(The reason for adding multiple jobs within the same campaign is to make it easy for Redstone to operate work on different locations as per the demand).
After adding a new Job, a Pop-up box will open.
Here Redstone Coordinator can fill in all the details along with providing specifications.

'Add Inventory' will request Coordinator to select Inventory and information related to it.

Coordinator can now save the Job after filling all the details afterwards.

## **SEEDS ADDRESS**
When uploading a job, the client can provide a series of addresses they can monitor. These addresses are entered up-front when uploading a job. The mailings will be sent to the addresses, in addition to the addresses provided in the job data file. The client will use that to gauge (approximately) when their recipients will be receiving the mailing in this job.
When Client adds a new Campaign. It has option to 'Add Seeds, by filling all the details required.

To save time, Clients can also save the 'Seeds Data' in advance.
To Add seeds within Company information.
Go to Company Tab


Click on 'Manage Seeds'

A Pop-Up will appear. Fill all the details, and press the 'Add Icon'

A confirmation notification will be shown on top

Seeds Address is now saved and more can be added.

Now, if Clients adds a new Campaign.

These details will be now prefilled and can be remove if unwanted.

Redstone users can also add seeds after a Campaign is initiated.
Under the Job Section, look for Seeds.

Click on 'SEEDS' button

A Pop-up box will open.
Here you can use Pre-Added Seeds or can create a new by filling the details and saving afterwards.

A confirmation notification will be shown on top

Seeds are saved and have become part of this Job.

## **JOB EDIT**
CHANGE IN INVENTORY ITEM
Any change in the Job Inventory will be reflected on Allocadence Application as well in real-time.
**Let's, take an example of a Job (589T1):**
Check the Inventory Segment under the Job

The amount of Inventory added initially (i.e., Sheet Count is 3)

**To check, Go to Allocadence Application.**
Here you will find the same details reflected for Job Item.

To view more details about Customer Order:



**TEST 1:**
Click on Inventory Edit in the Job board.

Change the Sheet Count, using Quantity bar.

Save the quantity.

Now, go back to Allocadence Application and you will now see that the number of Items will be reflected as per the new change in Job Board.

**TEST 2:**
Click on Inventory Edit in the Job board.

Click on 'Add Inventory' to add more items

Fill all the fields and click on 'Save'.

Now, go back to Allocadence Application and you will now see that the number of Items will be reflected as per the new change in Job Board.

Here you can see all the SKU items listed as per the Job board.
**Note:**
- Only Redstone Admin and Redstone Coordinator has access to EDIT Inventory.

## **PROOF EMAILS**
After Redstone Coordinator uploads 'Client Proof' file on Campaign level. The Status of the Campaign Changes to **Proof Ready** and a button 'Release Button To Client' appears on the top visible only for the Coordinator.

After pressing the button. A pop-up will be shown, confirming to send proof with the email or not.

If Coordinator selects 'Yes, Release Proof With Email' another pop-up will be shown.

Here Coordinator can modify different options:
- Recipients for the email (defaults are the Client Admins)
- Subject and Body
- Files
- Data
- Suppression
- Art
- Template
- Proof
- C\_invoice
- V\_invoice
- Delivery Receipts
Note:
- Red Icon with the number represents number of files uploaded already in the Campaign.
- Files that are attached can also be removed before sending the email as well. By selecting and clicking on the cross.

This is the email that Client will receive as Proof Email.
The files that are received as an attachment along with the email are proof files.

On this email, Client can **Approve** or **Deny** the Campaign or use the links to perform the same actions.

To choose what files can a Redstone Coordinator send or not along with the email.
Go to Companies Tab

Select the company and go to details.

Here, Redstone Admin can pre-check/uncheck file names in the Edit section under Company's information.

## **INACTIVE JOBS**
An inactive job means when Redstone Coordinator is prohibited from performing any action on the job.
Only **Redstone Admin** has access to Disable/Inactivate any job within any Campaign until the status of the job is on 'Printing'.
Also, these jobs can be activated again by Redstone Admin only.
List of all the Inactive Jobs can be viewed by going to 'Inactive Jobs' on the left tab.
 

To disable any Job:
Go to Job board within a Campaign.

Here, you will find the 3-dot menu.
Press this icon and a drop-down menu will appear. Click on 'INACTIVE JOB'.
   
A pop-up will appear, confirming the reason for disabling the Job

When saved, a notification will be shown:

 It can also be verified by observing that Job is now faded and not accessible for User. 
Also, it can be seen in the list of Inactive Job Tab. 
To Activate the Job again, there are two options.
1. Either press 'Activate Job' from the job board after going to Campaign.
  
1. Or go to 'Inactive Job' Tab and click on 'Activate Job' from the list.
 
**Notes:** When Activated, Job will be accessible again for the Redstone User to perform any actions

## **CLONE**
### TO CLONE A CAMPAIGN
Client can clone an existing Campaign from the list by Clicking on the button 'CLONE'

After this a new window will appear, just like when adding a New Campaign.
Every other detail for the Campaign will be cloned and can be changed if needed.

Note:
- Client must provide a new name and date.

### TO CLONE A JOB
click on 3-dot icon adjacent to Job 
A menu will open. Here click on 'Clone'.

A Pop-up box will open 
Here, the coordinator can write a new name and date

- Clone is useful if Redstone Coordinator wants to create another Job from the existing list.

## **BULK DOWNLOAD**
### BULK DOWNLOAD FILES THAT ARE ATTACHED WITHIN CAMPAIGN
Go to Campaigns

 
Click on the 3-dot Menu

Click "Download Originals"

Same option is available along Files after you open a Campaign.

A zip file will be downloaded.


Open it and you will another folder with the name of 'Originals'

It contains all the files that are uploaded when a Campaign is initiated

### BULK DOWNLOAD FILES THAT ARE ATTACHED WITHIN JOB
Go to Campaign

Click on Drop-down arrow and you can see Job list.

Same option is available along Files after you open Job under Campaign.

 A zip file will be downloaded.


Open it and you will another folder with different names

All these folders contain files that were uploaded within Job

There is another file with the name Production Ticket, which can also be downloaded.

A PDF file will be downloaded which contains all the details and Notes that were added in this Job.

## **STATUS PROCESS FLOW**
Two types of Status will be reflected throughout the process on the Redstone portal.
### Campaign Status
Work-related transitions
### Job Status
Operational transitions
Jobs are part of Campaign, and the Redstone system allows to add them only if data and art files are uploaded by the clients.
**Notes**** :**
- In general, we have **logs** for both Campaigns and Jobs in our application. Campaign logs specifically show any of the campaign level changes whereas Job logs show changes made in the job.  
- Campaign status is adjacent to Campaign log on the campaign details page. Also, on Campaign Info  

- Similarly, job logs are adjacent to every job's status. Please note that each job status log will show logs of the specific job. 
-  We have another log icon at the right bottom, this shows combined logs of both campaign and jobs.
- Mostly, "Status of Job" is reflected on "Status of Campaign".
- In case, there are two or more jobs added within a campaign, the status of the job at the earliest stage will be then reflected on the Status of Campaign, no matter what other jobs (if added) within the same campaign are in the last stages or not.
Also, two types of files are uploaded throughout the Process.
### Campaign Level:
**DATA, SUPPRESSION, ART, TEMPLATE, CLIENT PROOF, CLIENT INVOICE**

### Job Level:
**SPLIT DATA, PROOF, DATA PRINT, PRODUCTION, MAIL DATA, POSTAL PAPERS, V\_INVOICE, DELIVERY RECEIPT**

## **REGISTER COMPANY**
A business organization that requires services.
Companies are clients registering into the Redstone system along with their users.
Two different Clients are part of the portal.
### DIRECT CLIENTS
These clients are Redstone Direct Clients and can be added or register through/from:
1.
#### Login Page
Redstone Direct Clients can access this Login Page for Redstone Portal. Here they can register a new Company by clicking on 'Register Now'.

A pop-up window will appear with the required fields to be filled.

After all, the required field is filled in this window. Users can check 'ReCAPTCHA' and click on 'Create Company'.


Users then must agree with the 'Terms of Use' and 'Privacy Policy' to continue with the registration.
Agreeing with the terms will take to the second step of registration which is required to complete the Company Registration. Users must fill all the fields required.

Clicking 'Create User' will complete the registration process and the user will receive a mail related.
To check, Redstone Admin can view this new registered Company by going to 'Companies Tab'

#### Redstone Admin
Redstone Admin can also add a new Company (Client) along with the user using the 'company' tab. Any company registered through their portal will be Redstone's direct client.
To add a new Client, go to Companies Tab.

Now, click on 'Add Company'

A pop-up window will appear, here Redstone Admin must fill all the required fields and proceed to the next steps until complete.
Below are the steps are shown:



Another additional step is provided for Redstone Admin where they can assign Coordinators and Sales Rep at the time of Registration.
Redstone Admin can now click on 'Register' to complete the registration.
To check, Redstone Admin can view this new registered Company by going to 'Companies Tab'


### CLIENTS OF AFFILIATES
There can be multiple Affiliate Portals and all of them have a different portal apart from Redstone. Any company registered through their portal will be called Affiliate's Client or CoA(s).
These clients are Affiliate Clients and can be added or register through/from:
1.
#### Login Page
Affiliate Clients can access this Login Page of Affiliate Portal. Here they can register a new Company by clicking on 'Register Now'.

A pop-up window will appear with the required fields to be filled.

After all, the required field is filled in this window. Users can check 'ReCAPTCHA' and click on 'Create Company'.


Users then must agree with the 'Terms of Use' and 'Privacy Policy' to continue with the registration.
Agreeing with the terms will take to second step of registration which is required to complete the Company Registration. Users must fill all the fields required.

Clicking 'Create User' will complete the registration process and the user will receive a mail-related.
To check, Affiliate Admin can view this new registered Company by going to 'Companies Tab'

#### Affiliate Admin
Affiliate Admin can also add a new Company (Client) along with the user using the 'Companies' tab. Any company registered through their portal will be a Client of Affiliates.
To add a new Client, go to Companies Tab.

Now, click on 'Add Company'

A pop-up window will appear, here Affiliate Admin must fill all the required fields and proceed to the next steps until complete.
Below are the steps are shown:
   Another additional step is provided for Redstone Admin where they can assign Affiliate Coordinators at the time of Registration.
Affiliate Admin can now click on 'Register' to complete the registration.
To check, Affiliate Admin can view this new registered Company by going to 'Companies Tab'

#### Redstone Admin
Redstone admin can also register a new Client of Affiliate.
In the Affiliate Tab

Select any Affiliate, in which Redstone Admin wants to add a new Client

In Affiliate's Companies Section. Redstone Admin will find a button 'Add Company'. After pressing this button, Redstone Admin can follow the procedures that are defined above already.

**Notes:**
After completing the Client registrations, the registered user always receives an email with an invite to join the portal.

An email is also sent to the user which consists of an email address with a temporary password and Portal hyperlink.

After logging in with Temporary Password, the user will be asked to create a new password for future use.

## **USER REGISTER**
A person who utilizes a network service or operates something.
Users often have a user account and are identified to the system by a username. Listed below are the users divided into categories:
1. Admin
2. Coordinators
3. Workers
There are multiple users in the Portal, and the detailed list of all the users can be viewed using 'Users Tab'.

The roles of all the users can be divided into two sections.
### TO ADD REDSTONE USER
Redstone Admin can go to 'Users Tab'

Click on 'Add User'

A pop-up box will appear, here Redstone Admin can fill all the required fields along with selecting the role for new Redstone user and click 'Create User'.

### TO ADD CLIENT USER
Go to 'Companies Tab'.

Select companies Tab:
#### Redstone Direct Client

#### Affiliate Client

Select any Company from the list.
Admin can click on 'Add User' button.

A pop-up box will open with fields to be filled.

### TO ADD AFFILIATE USER
In the Affiliate Portal, Affiliate Admin can only add its own users.
Go to 'Users Tab'

Click on 'Add User'

A pop-up box will appear, Here Affiliate Admin can fill all the fields and click on 'Create User'

### SIGN-IN
An email will always be received to the registered user, containing Temporary Password. 
Users can now sign-in on the Portal using these credentials and create a new password. 
 The name of the user can also be viewed in the Users Tab.

## **USER ASSIGNED TO DIRECT CLIENTS AND CLIENTS OF AFFILIATES**

- Redstone '(Primary & Secondary) Coordinators' and Redstone 'Customer Sales Representative' are assigned to Direct Clients, and Affiliates by Redstone Admin.
- Affiliate Admin can only assign Affiliate Coordinators to their Companies (i.e., Clients of Affiliates).
- Coordinators assigned to Affiliates are directly assigned to Client of Affiliates and are called Affiliate Coordinators.
- **Clients registered in Redstone Portal are Redstone DIRECT CLIENTS.**
- **Clients registered through Affiliate Portal are CLIENTS OF AFFILIATES.**
**TO UNDERSTAND BETTER, WE ARE GOING TO DISCUSS SOME EXAMPLES:**
### DIRECT CLIENTS
Go to Companies Tab

Search for the name of Direct Client – **Galvin Harmon.**
You can see the name of the assigned Coordinators and Sales Representative of this company assigned by Redstone Admin.
To change these users:
Select this company to view more details.

Click on Edit, which will open a pop-up box.
Here Redstone Admin can assign other users by pressing the drop-down button along with Coordinators and Sales Rep. names and can save afterward.

To confirm, Go to the Campaign Tab, you will find the same Coordinators **(COORD)** and Sales Representatives **(S.REP)** assigned by Redstone Admin to Direct Clients.

### CLIENT OF AFFILIATES
Go to Affiliate Tab

Search for the Affiliate – **Cameran Vaughan**
You can see the assigned Redstone users for this Affiliate.

Select this Affiliate to view more details.
You can now see the name of the Assigned Coordinators and Sales Representative for this Affiliate assigned by Redstone Admin.
To assign other users to this Affiliate, Redstone Admin can press the EDIT button on the top adjacent to Affiliate Name.

A pop-up box will appear, here Redstone Admin can assign other users by pressing the drop-down button along with Coordinators and Sales Rep. names and can save afterward.

To confirm, Go to the Campaign Tab, you will find the same Coordinators **(COORD)** and Sales Representatives **(S.REP)** assigned by Redstone Admin to Affiliates in the list.

### _AFFILIATE ADMIN WILL VIEW THE SAME DETAILS WHEN THEY SIGN IN FROM AFFILIATE PORTAL._
Go to Company Profile

Name of Redstone Coordinators and Sales Rep assigned by Redstone Admin to Affiliate - **'CAMERAN VAUGHAN'**.

**As discussed, Affiliate Admin can only assign Affiliate Coordinator to 'Clients of Affiliates'.**
Go to Companies Tab

Here you can see the name of user 'Affiliate Coordinator' assigned to the Companies (i.e., Client of Affiliates)

To change users, select company
For example – Carly Mclaughlin

To assign another Coordinator to this Client of Affiliate.
Click on Edit, which will open a pop-up box.

Here Affiliate Admin can assign other users by pressing the drop-down button along with Affiliate Coordinators and can save afterward.
_AFFILIATE CLIENT ADMIN WILL VIEW THE SAME DETAILS WHEN THEY SIGN IN FROM THEIR PORTAL._
Taking an example of Client of Affiliate
Signing in as an Affiliate Client Admin user from **CARLY MCLAUGHLIN** on Affiliate Portal.
Here the user will see the same Coordinator assigned to them by Affiliate Admin which can be seen in Company Tab.


Any Campaign initiated will be assigned directly to the Affiliate Coordinator assigned by the Affiliate Admin.
To confirm, Go to the Campaign Tab, you will find the same Coordinators **(COORD)** assigned by Affiliate Admin to Companies of Affiliates in the list.

**Notes:**
The Affiliate Coordinator's job is to "Release Campaign" for Redstone Users to perform further actions.

## **PROXY IN REDSTONE**
The authority to represent someone else.
In Redstone Portal, Redstone users have the privilege to proxy other users in their list. By doing so, users can function on behalf of another.
**Note:**
- Proxying other users is based on Top-down hierarchy, making Redstone Admin the highest.
BELOW ARE THE METHODS TO PROXY USERS:
### USERS TAB

Here, you will see a list of all the users.
Find the name of the user you want to proxy

You may search the role of the user with the name of user/company you want to proxy.
 
After searching the user, you will find a red icon along with the name, just like the one below:

When this Icon is pressed, Redstone User will now have access and can act on behalf of this User.

Now, Click on the User logo
You can verify the name of the Proxied user.

To revert to Redstone user profile: Click on 'Switch To My Account'
### CAMPAIGN TAB


Hover the cursor on the name of the Company Tab. And click on the name in the Tooltip.
 
Redstone User will now have access to the Client Admin of the company and can act on its behalf.

### COMPANIES TAB


Select a Company and go to user Info.

Redstone User can proxy from here directly after clicking on the red icon along with the users name.
### AFFILIATE TAB


Select an Affiliate and go to User Info.

Click on the red icon along with the name of the user to Proxy.

**If Redstone User proxy on behalf of Affiliate Admin, it can proxy again on the second level as well.**
Let's take the example of Oliver Madden, who is an Affiliate Admin and is proxied by Redstone User .


Go to Companies Tab.

Select a Company (i.e., Client of Affiliate) and go to User Info.

You will again find an option to Proxy the users of Client of Affiliates by clicking on the red icon.
Now, If Redstone User reverts by clicking on 'Switch To My Account'. It will first take it back to the proxied account of the Affiliate Admin.
After clicking on 'Switch To My Account' again, Redstone User will go back to its account.
 
**NOTE:**
- Redstone User will view Web Interface the same way as Proxied User.
- Redstone User access will also limit to that user.
- Three steps proxy only works with Affiliate Admin user account.

## **Change of Logo when proxying an Affiliate Company or Clients of Affiliate.**
In Redstone Portal, Redstone users have the privilege to proxy other users of Redstone and Affiliates as well from their list. By doing so, users can function on behalf of another.
### Change of Logo (Affiliate)
When any Redstone User proxy other users of Affiliates or Clients of Affiliates, the system automatically changes the logo and Primary color assigned to them.
To preview, go to Affiliate Tab.

Select any company from the list. Let's take "Haviva Boyer" as an example

Go to Users Tab and Proxy any user from the list.

 After proxying, Redstone User will experience the shift of Redstone Logo  to Affiliates Company along with the primary color assigned to that of the Affiliate.

After screen is successfully loaded, below attached is the preview that Redstone User will observe after proxying any Affiliate user or Client of Affiliates.

Below are the additional methods to proxy Affiliate users:
### USERS TAB

Here, you will see a list of all the users.
Find the name of the Affiliate user you want to proxy

You may search the role of the user with the name of user/company you want to proxy.
 
After searching the user, you will find a red icon along with the name, just like the one below:

When this Icon is pressed, Redstone User will now have access and can act on behalf of this User.
### CAMPAIGN TAB


Hover the cursor on the name of the Affiliate Company Tab. And click on the name in the Tooltip.
 
Redstone User will now have access to the Client Admin of the company and can act on its behalf.
### COMPANIES TAB

Go to Affiliate Section and select a Company

Go to user Info.

Redstone User can proxy from here directly after clicking on the red icon along with the user's name.
## **PRIMARY COLOR OF AFFILIATE PORTAL**
Go to "Affiliate Tab"

Select the Affiliate from the list.
  
Under Affiliate details, you will find the default Color Code as 'Maroon'.

To change, Click on 'Edit'
A pop-box will open

Select the new color you want to choose for this Affiliate and click on "Save".

Now, Go to Affiliate Portal, you will find that the Primary Color for the Portal has been changed from default to the one selected by the Redstone Admin.

## **INVENTORY MANAGEMENT**
A new role of Inventory Manager has been added to Redstone Portal.
These users have access to view and edit new columns that are added in Inventory.
To view, one can go to Users Tab  and find these users with the role of **Inventory Manager** just like the example below.
 
### Inventory Tab

In Inventory Tab, new columns of **Purchase Order,**** Expected Quantity **and** Expected Dates** have been added.

To Edit, click on the Pencil/Edit Icon against the list of Inventory.

A new pop-up window will appear, here Inventory Manager can write the Purchase Order, Expected Quantity and select Expected Dates in the fields.

After pressing the update button.

User will now find the change against the Edited Item in the Inventory Tab.

**Note:**
Currently, **Inventory Manager** and **Redstone Admin** have access to edit these columns.

## **ALLOCADENCE MAPPING**
In Companies Tab. Select the company.
Under Companies Details you will find Allocadence Info, click on "Edit".
 
A pop-up screen will appear, with fields to be Edit

Go to Allocadence Website, you will find 'Customers Tab' under 'Admin' drop down menu.


Select the Name of the Client from the drop-down menu and you will see list of Customers for that Client.


Select Customer name.
You are now able to see the details, for example:
- Name = Advance
- Surname = Jobs
- Account Number = 223
 
Copy this Account Number on Redstone Portal and you are ready to go.
**Notes:**
You may also confirm Company ID from the Previous version of the Redstone Website, if needed.

## **INVENTORY SYNC**
Inventory or stock refers to the goods and materials that a business holds for the goal of resale, production, or utilization.
### RED STONE INVENTORY
The Red Stone Application's Inventory shows the list of all the items that the Redstone coordinator selects when adding a Job.
To check Inventory Items, Go to Inventory Tab.

Here, you will see a list of all the items.
Redstone receives up-to-date information from the Allocadence system and displays it to the User.

Following are the columns that are part of the page:
#### Image
The Image column consists of the sample images of the items that are in the Inventory.
#### SKU
The SKU column shows the names of the articles that exist in the Inventory.
#### Description
This column consists of the description of the SKU items.
#### Warehouse
Warehouse columns show the user which warehouse each article is present at. The user willbe able to select Warehouses from the dropdown menu to view each warehouse's Inventorystock.

#### In-Stock
The In-Stock column reflects the inventory values from the Allocadence system.
#### Available
The Available columns show the actual usable quantity for an article.
#### Reserved
The Reserved column shows the quantity of an article that has been used to create Jobs inthe Red Stone application.
#### On-Order
On order shows the quantity of items that Redstone has ordered. just in case if inventory gets finished.
**Note:**
**Available = In-stock – Reserved**
**Let's take an example of Item details before any Job is created.**

While Redstone Coordinator adds a new Job **.**
It can see the 'Available Inventory Count' that is a real-time value from the Inventory list of Redstone. At this stage the Order is reserved locally on Redstone Portal and no changes are done on Allocadence.
After Saving the Job.

We can see the change in "Available" columns by 'Sheet Count = **4**' and addition in "Reserved" and no change is seen in 'In-Stock'
### ALLOCADENCE INVENTORY
Allocadence is a third-party application that Redstone uses to manage its Inventory and Order bookings. The Red Stone application maintains a connection with the Allocadence system, so the inventory count of items from the Allocadence system reflects in the Inventory of Red Stone Application. The Orders created on the Red Stone application are relayed to the Allocadence Application as well.
Go to Allocadence and look for Inventory List.


The same 'In-Stock' number is reflected for this Item.
Now, Go to Orders.

Till now, no Job Order is created in Allocadence Application for this Job until it is 'Released to Production' by the Redstone Coordinator. As till now Redstone is holding the Job Order locally.
When the Job is released, we can see the Job with the same 'Sheet Count = **4**'. As per the order 
Go back to Inventory List 
We can see the change in Stock columns by 'Sheet Count = **4**' after the Production is Released by the Redstone Coordinator.
If we go back to Redstone Inventory, you may now see the 'In-Stock' has also changed by 'Sheet Count = **4**'

**Inventory Items will reflect the change in both Redstone and Allocadence Software, even after Job Production is Released and sent to different Operator jobs.**

## **INVENTORY INBOUND**
Go to Allocadence Application, under 'Purchasing' drop down select 'All Open'.
 
Select the 'location' and click on 'Export'.
  
A pop-box will open, here select the date range of Orders and click 'OK'

A CSV file will be downloaded with all the details related to Inventories.
Now, go to Redstone 'Inventory Inbound Tab'.

In inventory Inbound Tab, click on 'Upload' and select the file you have downloaded.

Users can now view the list of Purchase Orders based on the location selected.

## **EMAIL SUBSCRIPTION**
An email subscription is an option on a website that allows users to receive updates via email by specifying their email addresses in a subscription form.
In this website portal, Redstone Users can receive an email for the following actions:
### COMPANY REGISTRATION
Whenever a new company is registered on Redstone or Affiliate Portal.
### IDLE CLIENTS
When a client is no longer active for a short period (30 days), they are considered idle.
### UNPAID CAMPAIGNS
Those Campaigns that are close to their due date of delivery (i.e., today, tomorrow).
**Notes:**
- Redstone Admin has access to subscribe/unsubscribe any Redstone user for the emails discussed above.
**Go to Email Subscription**

Here, you will find list of all Redstone users that are subscribed currently.  Click on drop-down button on 'Subscription Type', to check users for different subscriptions. 

To subscribe more users to receive email:
Click on drop-down menu 'Select user', which will show the list of all the active Redstone users.

Select the user who you want to Subscribe and the Subscription type for them.

Now, click on 'SUBSCRIBE', and those users will receive email from now on for related activity
Below are the emails that User receives if subscribed.
### Company Registration
When any new Client is registered, Redstone Admin receives an email with all the details along with the user's just like the one below.

The name of the Client can now be found in the users list

Also, any Campaign created by this Client will be part of Redstone Portal.

Note:
This email also contains an Action Item '[Self-Destruct'](https://zaifworks-my.sharepoint.com/personal/hsiddiq_zaifworks_com/Documents/Red%20Stone/Guide/Self%20Destruct.docx?web=1) for the admin to remove Client from the system.
### Unpaid Campaign

A file will be received for the Redstone Subscribed Users to view list of all the Campaigns that are Unpaid and are Due only Today and Tomorrow.

### Idle Clients
This feature is currently inactive and will be discussed as soon it is deployed

## **SELF DESTRUCT**
Self-Destruct function is use to remove Client from the Portal.
When any new Client is registered, Redstone Admin and Subscribed Users receives an email of Company Registration with all the details along with the user's just like the one below.

After the registration, Client becomes part of the Portal, and the details can now be found in the users list.

Also, Client now can create new Campaigns which will become part of Redstone Portal.

However, if the subscribed users want to remove the registered Company from the portal. It can simply use the 'Self-Destruct' button.

After pressing this button, a screen will appear showing that the "Company deleted successfully"

After the deletion, all the data of Client will also be removed from the Portal along with the Campaigns created by the Client.
 **Note:**
Self-Destruct button will not be functional for the User if a Job is initiated for its Campaign.
## **EMAIL OF REGISTRATION**
### Company is registered through Redstone Portal.

When a company is registered through Redstone Portal, Redstone Admin always receive an email along with the Subscribed users for Company Registrations.
   The email receives by the Redstone Admin will contain all the information related to the Registered Company and the user registered along with it.
It can also be seen that the body of email contains 'Redstone Mails'.
### Company is registered through Affiliate Portal.
 When any company is registered through Affiliate Portal, only Affiliate Admin receives an email for the Client Registration.
   The email receives by the Affiliate Admin will contain all the information related to the Registered Clients of Affiliate.
**Note:**
- Email receives by Affiliate Admin for Client Registration will only contain the name of the 'Affiliate Company' in the subject of email.
## **FEEDBACK**
Redstone Users are now able to give feedback on Redstone Portal.
 Click on the 'person' icon which is adjacent to Profile
on the top right.
A feedback form will pop-up, here you can fill the fields and submit it by pressing the button on the bottom.
Redstone Admin can view all the Feedback by clicking on this icon, which can be found on the left bar on the bottom.
A window will appear showing all the feedbacks from different Redstone Users.
By Clicking on any, Admin can now view the feedback.

## **PRODUCTION APPLICATIONS**
An application which is solely operated by **Redstone Operator** Users.
The use of these Applications is only after a Job status is changed to "Released to Production". Redstone Operator make sure to 'Scan' the Job ID using this Application to reflect the Job Status in the process flow under JOB board.
 
**NOTE:**
- The size of this Application is small and can be accessed on low Specification Devices as well.
- Also, the Application is compatible with Raspberry Pie computers.
This Application is used for five different Job Process and can be accessed by five Different URLs shown below:

To Scan ID(s) on the Application, Redstone Operator requires a JOB ID 
 **This Job ID can be copied from Job Board**
   
**Also, after a Production Ticket is downloaded, it is handed over to Redstone Operator.**
Redstone Operator now, can read the Barcode from the Production Ticket and scan it accordingly on the Applications. 
Below is the Job Status Transition Flow after Job ID is scanned using Application on all URLs:
