## Notes
- the language we use: we chose that the language of use will be dutch and english official communication whenever is possible bilingual
- Word goes to Fiona
- The roles as in the wish list: no pennymaster, 2 secretaris, 3 voorsitter
- Federico declines to be vorsitter and is very happy to be a normal element
- Proposal is Fiona Vorsitter, Natalie Pennymeister, Sanne Secretaris (approved after discussion)
- Question from Daan:"did Natalie said she did not want to be the pennymaister?"
- Federico do you think you can write in english? Aswer: YES
- do we have to have two persons over the money?
- What are the main caracteristics that a pennymeister has to have? We have bookkeepers to keep the overview and the responsibility
- Sanne: We should maybe have a good way to keep the overview of the moneyflow in a better (more automatic? way)
- fredd: can we start from the accountant report?
- is usually connected with 2019 and is adjusted for the taxes
- so to make a forecast of the money flow is important task of the board
- Nathalie feels ok to share the responsibility
- fredd proposes: the responsability is shared by the board, and in the board the task is on Nathalie that takes the official roles on herself; Same thing goes for everything: the board talks as one, the roles are shared into the board as responsabilities (approved)
- shall we write all in english? Is important that the languadge of the board communication is multilingual? (approved)
- Meeting with old board is 22 dec. 11:00
- every member of old board is contributing to a document about "what is left to do?
- Susan: I want to keep being part of the garden commission
- as a rule you cannot be handling the commission that you are in
- in the mail from Andra was a reccomandation not to be in a commission and in the board, but there are various exceptions in history (Arie with the web commisison)
- Susann is worried about the practical thing, how to make it work?
- Nathalie: Commissions will be divided for the tree general members
- Fredd: if we keep good communication between us is going to be possible to avoid troubles and spare a lot of time, with trust this will go a long way
- Daan: what do we have to do?
- Nathalie we are the speeking point for others; as mediators and as "percetors" of possible issues. The board is the communication point.
- Formal communication goes via email and non-formal communication interanal to the board memebers goes on a telegram group : install telegram on computer or mobile, fredd can help and answer questions in the process

- the internal communication in the telegram group has to be kept on topic and useful/effective
- Fiona reads the list of commissions
- the financial commissions goes to the pennymaister
- some of the commissions are not active in this moment
- what we need to know from the old commission about the working of the other commissions?
- what are the tasks that are directed to the bewoners and wich to the general people?

- We are waiting for the old bestuur to give us materials and lines
- we need a list of tasks that are open that we needf to monitor
- do we have vision? "fredd:paceful time is as well a vision"
- how often do we want to meet? We agree that regular short meetings with flexibility on the time and a bit of preparation would be the best
- to start with one every 3 weeks is a good timing, keeping under an hour if possible
- next meeting planned before 22 for our first evening in january
- Wensday the 13th January at 20:00 next meeting (agreed with reserve)
- start a shared folder for documents (fredd does it for everyone and cN be the tech question hub for now)
