Moderator Instructions

This guide is setup to walk through the steps, requirements and general process for bringing on a new contributor.
This document will change as we go as this process is in flux. Please reach out with questions.
## Signup a new member
After a user shows interest through Discord DM, follow these steps.
- [ ] Check that the user has posted in the #User-Intro channel
- [ ] Check that they have been part of the QRL main server, or the TQC for at least 2 weeks.
- [ ] Get an approval from a core contributor to add the user to the group
- [ ] Send the user a DM asking for Email using the [Discord DM Template](/NGW6FsWXTzeEYdqoSC8zMg)
### (scripting?) Onboard / Actions after requested information is received
- [ ] Using the email the users sends, setup accounts for the new user in Nextcloud
- Moderators and Core Contributors have access to add user accounts to Nextcloud
- Reach out if you do not have access
- [ ] Add user to Trello if they already have an account.
- If not already a member, send them an invite through Trello using the email they provided.
- [ ] In Discord change the users roles to add:
- [ ] #contributor
- [ ] Any roles that match the users interest and #User-Intro post to allow the user access to the WG's that fit
- [ ] Send user a confirming email with all of the details you have just setup.
This completes the loop, adding the user to the server with appropriate access rights, and accounts in our core systems.
## Removing a user
When a user wants to leave, or we need to remove them for breaking our #rules, follow this process.

### Grounds for removal
- Breaking rules
- any user that breaks the rules can and will be removed from the group.
- Very little tolerance for abusive or harmful behavior. Ban first ask later...
- Abusing the systems
- Taking advantage of others
- ...
Unless the user is actively abusing the system and is creating a potential to damage the project, an approval from a core contributor or consensus from multiple contributors is required prior to removing the user.
### Removal process
- **Discord**
- Kick the user from the Discord server
- Remove any roles they may have in the server
- **Trello**
- Remove the user from all boards they have access to
- **Nextcloud**
- Deactivate the user so they cannot login to the system any more.
- **Github**
- If the user has been given any access to github repos, remove the write access there.
- Email the user with the details and reasons for the ban
- This email should be to the point and factual.
- Leave emotion out of this communication
- If this is a problem, ask another moderator
