Event Planning Checklist

There will be 7 days for event planning.

DAY 1

  • An official meeting
    • Discuss what will be in the event
      • technical (have different meeting)
      • marketing and strategies (have different meeting)
    • Fix the Date and time for the event
  • Make Registration form
  • Shorten the link
  • Share it with the Marketing team and Graphic Designing team at Discord
  • Graphic Designer Team should start 2 posters separately
  • Marketing team should start the content writting
    • Instagram
    • LinkedIn
    • Facebook
    • Email

DAY 2

  • By the start of the day, content should be submitted in the discord
  • Moderations and corection
  • Pin the corrected content and keep it
  • Poster draft share by 2 pm
    • Suggestions by 8pm
    • Graphic Designers should make the changes by EOD (if there is a delay, information should )

DAY 3

  • Content ready
    • Social Media
    • Email
  • Poster ready
    • Poster One
    • Poster Two
  • Technical Meeting - In co-ordination with domain lead
    • Make a plan of the session (when which speaker will speak)

DAY 4

  • From 9AM, first poster must be posted in the social media handles
    • Instagram
      • Post
      • Story
    • Facebook
    • LinkedIn
      Should be done by 2pm
  • From 3pm, the emails should be rolled

DAY 5

  • If any technical strategies remain, a meet should be done which will clear the doubts or build more strategies
  • Roll out of second poster (if done, then only check)

DAY 6

Waiting for responses

DAY 7

  • Stop accepting responses
  • Send necessary email containing
    • Mode of communication during session ( DISCORD )
    • Links of the session
    • Detailed timings
    • Outcome of the session

DAY 8

The session commences

  • A general meeting for discussing the goods and what went wrong
