# TBD TV Livestream process
*Beginning to end of how I plan everything, so the rest of the team can use this format and make it their own.*
## Booking guests
### When I book guests
- I start this a month or two ahead of time
- I take a one to two week break every 2-3 months of weekly livestreams, so I can book people during that time.
### Who I book
- livestream is focused on projects/companies within our ecosystem (SSI and global payments)
- Orgs that we're partnered with (usually referred to by the tech partnerships team, Ben Boeser and Angie)
- Orgs that are part of [DIF](https://identity.foundation/)
- Orgs that are on podcasts I listen to like [Future of Identity](https://podcasts.apple.com/us/podcast/the-future-of-identity/id1672163418) or [SSI Orbit podcast ](https://podcasts.apple.com/us/podcast/the-ssi-orbit-podcast-self-sovereign-identity/id1552622325)
- Orgs I see highlighted in #tbd-industry-news especially if I see coworkers say "we need to partner with them"
- Orgs that I hear Daniel say he's working with.
- Community members in our Discord (like if they're Hackathon winners or built something reallllly cool, but community members might be best for Show&Tell.)
- Occassionally TBD folks, but they're mostly best for Show&Tell
### How I book them
- Cold DM them on social media or cold email
- If no response, ask for an intro from someone at TBD like Daniel or Gabe
- Message them in DIF foundation Slack
### Scheduling
- Once they agree, I send them my calendly which shows them my open Fridays at 12pm ET. They choose which date. It auto sends them a [basic prep doc](https://gist.github.com/blackgirlbytes/864ea36c3a048b18de713754aab70bab)
- The cal invite books at 11:45 am ET, so we can have 15 minute to check audio, screenshare, video

- Come up with stream title and description
- Short description for Twitter (280 chars or less)
- Long description for other platforms
- Create promo image

- Schedule on Sprout Social for Wednesday
- Schedule in Streamyard 
- Once streamyard is scheduled, I give them the streamyard link by choosing invite guest, copying the link and adding it to the calendar

### Wednesday
- Retweet/post on my personal profiles (twitter, linkedin, mastodon, bluesky, threads)
- Post in Linkedin groups that care about SSI

- Reminder post on my personal socials
- Prep livestream assets **(See below)**
### Friday
- I'll quote tweet to say we're live or we're starting in ~1 hour
## Prepping guests
### Beginning of the week
- Usually Monday or Tuesday, I send a [doc](https://docs.google.com/document/d/1SAcSm2eSy-v_WZ70YyBZjwF6UgpzZj3iJ5HU6n01S6M/edit?usp=sharing) like this. I tell them let's collaborate. Leave a comment if there are questions they want me to ask or questions they don't want me to ask. This way I know if they read the doc or not. Sometimes, I push back on the questions they want
- Streamyard link gets added to this doc as well
- I send reminders:
- about planning a 5 minute demo
- about bringing their personality and not over prepping their responses
- Sometimes, I only send them some of the questions. And I have a more detailed question list for myself
### 15 minutes before
- Me and the guest join the livestream. We check:
- audio
- video
- **screensharing (this is the most important. Sometimes, it doesn't work or they need to change their permissions)**
- I remind them that sometimes, I'll have to cut them off because of time
- I remind them of how the agenda will go

- Upload updated Web5 quiz in streamyard
- Ending video is already in there
- If you have commercials or anything edit and upload
