# Colella Lab Grad Student Resource Guide

## Recurring Required Trainings

**Prep lab:** For required online EHS courses for working in the prep lab see the [Colella Lab Onboarding](https://hackmd.io/@colella-mammal-lab/Sy_2t5WiI). Annual in-person safety briefing is required by all students/staff annually and is coordinated in Sept.

**Molecular lab:** Annual lab safety briefing required by all users; coordinated in Aug/Sept.

## Travel
For all work travel, KU requires that grad students create a "Travel Request" (TR) through Concur Travel ([concur.ku.edu](https://concur.ku.edu)) 2 weeks in advance of their trip. Log into Concur, click `New+`, then `Start a Request`

Information you will need to create a TR:
    - Trip Name: BE GENERIC AND CONSISTENT (e.g., "Rawlins Co. Fieldwork")
    - Start date/End date
    - Destination City (or the closest city to where fieldwork will be happening) - *less detail is more here*
    - Trip type (out-of-state/international)
    - Trip purpose (conference/fieldwork)
    - Does this trip include personal travel? Usually no.
    - Legal Entity/Cost Center/Fund: leave as-is (should be autopopulated somehow)
    - Additional Information: Limit response to 1 word (keep it simple: fieldwork, conference, workshop, etc.)

After making a TR, you're required to add an '**Expected Expense**'. Select the '**Personal/Non Reimbursable expense**' and enter '**0.00**'' as the amount.  This will create a $0.00 TR so that you're covered under KU's AIG insurance travel policy.

### Conference Travel
Students are not required to attend conferences and are strongly encouraged to apply for travel awards to support conference attendance. Travel and food are generally the responsibility of the student. As funds allow, the PI aims to support registration fees for 1 conference per year. 

Opportunitites to help fund conference travel:
- Each year, grad students are eligible for $500 from the BI and $300 from EEB to support conference travel -- USE THIS!

    - Apply EEB conference travel funds:
    (i) Submit an email request that includes information about previous or concurrent [Grad Studies funding](https://graduate.ku.edu/graduate-student-travel-fund), conference location, dates of travel, budget listing all expenses, and any other sources of funding;
    (ii) a brief email of endorsement from the student's advisor (ideally, CC advisor on application email and ask for their confirmation); and
    (iii) the title and abstract of yout presentation.

Note: To be eligible for EEB travel funds, Grad students *must* also have applied or concurrently apply for the [Graduate Scholarly Presentation Travel Fund](https://graduate.ku.edu/graduate-student-travel-fund) from Grad Studies or COGA.

### Fieldwork Travel
Travel to the field (vehicle, gas) and group food is generally funded by a project/grant. Use of personal vehicles on local trips are approved by request, no reimbursement. Kids, friends, and pets are not allowed on field expeditions without prior approval of curator or collection manager.

### **Colella Lab Policy**: Field work is a **PRIVILEDGE**
- No one is entitled to attending any field expedition, and anyone can be removed from a field expedition for any reason.
- While the Colella Lab strives to get all students field experience while they're at KU, students must first demonstrate their skills locally (e.g., in-state, in the prep lab) before they are eligible for international travel.
- Field personnel are selected based on experience/ability, personality (positive, collaborative, team focused), focal subject/taxon, and the geographic area and cultures of the destination.
- The PI has the final say in who will attend field expeditions.

## Grad Student Purchasing Cards (P-cards)
All grad students with payroll appointments must [apply for a travel p-card](https://services.ku.edu/TDClient/631/Portal/Requests/ServiceDet?ID=7702) in order to purchase fuel during field travel or for emergency situations (e.g., vehicle repairs, etc.). There are two "types" of Travel Pcards: (1) UKANS for travel on state or Endowment funding and (2) KURES for travel on sponsored research grants. Apply for both.

Provide default funding:  cost center 2454000, fund 099 for UKANS cards, and cost center 2454800, fund 906 for KURES cards.

Note that if a student has a gap in payroll appointment during the year, the card will not reactivate along with your Fall payrool appointment. You will need to re-apply for a new travel p-card each semester. KU is aware of this issue and trying to resolve it.

## Field Trucks

To use the KUBI Field Trucks:
1. Ask Colella to request authorization from BI Administration who will verify student employment;
2. Present a valid drivers license to Teri Chambers;
3. Sign a copy of the Field Truck Use and Maintenance Policy and submit it to Teri Chambers.

To reserve the truck:
Email tchambers@ku.edu or other admin member. Provide: the driver's name, passenger names, dates of travel,travel destination(s), purpose of travel, funding source to cover daily usage fee, name of individual responsible for paying for field truck usage (usually Colella).

To return the truck: Vehicles should be returned in working order, clean, and with a full tank of gas. Vacuum the floors and seats, clean interior surfaces, and wash the vehicle. **A free carwash is available at the KU Facilities Maintenance Garage.** (1505 Westbrook; Garage Hours: 7:30 am–4 pm M-F). Contact Ronald Wallace to borrow one of the vacuums 785-864-0998 at the Maintenance Garage. Provide a detailed description of any damage.

## Dyche Hall Rules and Regulations
1. No food consumption or food trash on the 7th floor. If you bring food, please store it in the mailroom fridge (Rm 604). Food trash can be disposed of in trash cans on any other floor.
2. Drinks on the 7th floor need a lid.
3. No live plants on the 7th floor of Dyche Hall.
4. Report any facilities isues to Lori (lschlenk@ku.edu)
