# Celebration event planning

At staff meeting 2021-07-05 it was suggested that we should let CR team (?) vote on their preferred form for celebration event.
Current suggestions/ideas (it can be a combination):
- dinner voucher
- online game
- https://codenames.game/ (Codenames online, can we upload our own words?)
- https://sketchful.io/ (pictionary, can use custom word list. can we extract from our lessons?)
- Create "movie poster" type graphics (google slides, for example) for CodeRefinery / lessons / etc, then present to each other.
- (new idea, perhaps doesn't work) Impromptu presentation: take volunteers. Teams create a presentatation using google slides at the same time as it is being given.
- lunch to lunch event end of project period in Helsinki
- Helsinki because then also a couple of volunteer contributors could participate without having to deal with travel reimbursement
- fun presentations/hackathon where we can explore other topics than research software (but can also be on topic)
Budget-wise probably all of this is doable.
Before we can start a poll though, some questions were voiced and we should clarify these so that we know what poll questions to ask:
- Is this a celebration event only for the may workshop or for the entire phase 2?
- RB: in my opinion for the entire phase 2 period and not only for one workshop, otherwise why celebrating one workshop and not another?
- AF: I agree. What we should celebrate is the "end" of CodeRefinery.
- The latter makes more sense and probably easier to coordinate.
- Is this only for paid staff or who would be invited?
- RB: in my opinion not only for paid staff but also for those who have significantly contributed to the project as volunteers. I think I know who they are but I am unsure how to define it. Travel for unpaid staff however may be too complicated.
- Travel for in-kind partners? 100% agree with having everyone who significantly contributed.
- Invitees; I totally agree on the difficulty with definition reg. volunteers (i.e. those who never got paid for their contributions by either NeIC or their affiliation). And in addition to volunteers, those who were paid-staff in phase 2 but no longer so (due to differente reasons) should be invited? Unless there is a good "tactic" that enables travelling compensations etc. for those who are not paid-staff (anymore), it may become an unfair event? Then isn't it better to go for a light-weight online gathering?
Please comment on the above. Also please add additional questions you may have. Anonymous comments/questions are also OK. Also OK to communicate questions/opinions in private messages and RB will try to make sure all opinions are heard and count.
