# Residents Guide (INTERNAL)
ITP/IMA Thesis/Capstone Presentations - 2021
- We will be using this recurring Zoom Webinar link for four days:

- **The Webinar is for ITP Students and Faculty only**<br><br>
- The Public Livestream will happen concurrently at: https://itp.nyu.edu/thesis/livestream/index.html
- Please share the livestream link with family and friends!
- We will enable chat in the Webinar and provide basic chat in the Livestream<br><br>
- Each section has two residents that will run the Webinar for their section
- We will also have two more residents on the floor for each section and 1 livestream manager
# Preparation
- Share the **[Student Guide](https://hackmd.io/h--QNiAeTJG4DqfoVw-8ig)** with your section
- Host a rehearsal
**- Note: Please include Guillermo and Billy in your session's rehersal invite so they can test the livestream as needed**
- All residents have been made as co-hosts for the Webinar
- You will have to make each of your students a Panelist when they arrive so they can Share Screen and be Unmuted
### Before your session starts

- Check the More tab in the Participants window and make sure it looks like the following (yours may be slightly different):<br>

- Double check you have Attendees see the "Speaker View" or something similar, as this will effect Spotlighting
- Also check that each Panelist can Share Screen (if you don't see these options below, then skip this step)<br>

- <span style="color: orange;"><b>Resident 1</b></span> will prepare the Bell+Cheers and Cheers audio on your phone. You can access those [here](https://drive.google.com/drive/folders/1k16rxl9Tfy2Ywsg_7uYUOO9iANYDzhdG?usp=sharing)
- Then set **Supress Background Noise** to low to help Zoom pick up the sound from your phone:

- <span style="color: blue;"><b>Resident 2</b></span> start playing music, **Spotlight** yourself (camera taped over) and **Share Computer Audio**

## Session starts
### <span style="color: orange;">Resident 1</span> = crowd control
- Mute everyone
- When presenter says they're ready, "Unmute" them.
- Play the [Bell+Cheers.wav](https://drive.google.com/file/d/1x7tr6l0xoqyc5iZy6bCYlyFssLBKY9NN/view?usp=sharing) audio from your phone speaker into your mic
- "Mute" yourself when that's done
- When the presenter is done, "Unmute All" then "Unmute" yourself and play the [CheersOnly.wav](https://drive.google.com/file/d/1DvL2TksjXH3R8BFfEG8Zzk9ooWNiRcd4/view?usp=sharing) audio from your phone. Others will follow your lead!
- When the crowd dies down "Mute" everyone and repeat this section!
### <span style="color: blue;">Resident 2</span> = camera person and queueing next presenter
- Make sure again you have set up the virtual background and tape over your webcam
- Queue next presenter with the follow prompt:

<Name> you are next.
Please click “Share Screen” and if you need to,
check “Share computer audio”
check "Optimize for Video Clip"
message us in the chat to say you are ready
and wait for the bell to ring.
Once the bell rings, start sharing and start presenting!
```
- (optional) If you keep the screen sharing to "only host can stop sharing", then they won't be able to click share before we stop sharing sound, so I've been sending this too: *"good luck! you may not be able to open the share screen dialog until we stop sharing, so just focus on saying you're ready in the chat when it's your time and then wait for the bell. You'll be able to share screen after the bell."*
- When bell rings, Spotlight the presenter.<br>

- When presenter is finishing, cue your music.
- When the cheers die down, **Spotlight your video** feed
- Then **Share Computer Audio** which will stop the presenter's Screen Share.
- Then repeat these steps!
### When Section Finished
- Make sure the a resident from next section (if any) is made the host for the session and takes over playing music.
- <b>That's it, great job!</b>
### Additional comments
Because we can no longer Unmute participants immediately (they are asked before being unmuted), we are using a cheer sound on the phone. This is different than the bell sound, which has cheers in it too, but is used to start a presentation.
**The Square** is equipped with a Mac Mini and camera and will be in the Webinar. You cannot unmute the computer FROM Zoom, but you can remotely log into the computer and unmute it from there. To log in remotely, use the **Screen Sharing** app on OSX. Here are the details to log in:
