## Notes on our activities: Telehealth Working Group of IMIA

### Introduction
We have three activities in the group where everyone is encouraged to participate actively: yearbook article submission, annual report, and community calls. I have listed the dates/times, and what is involved for each one of them, and what to expect.
### Yearbook of Medical Informatics and Position Paper
Annually, around end of September-October (September-October cycle), expect a message from the Working Group Co-chairs (Sriram or from me. or whoever else will be co-chairs) as a notice from "Lina Soualmia" or the "Yearbook Admin" inviting the Working Group to submit to the Yearbook with details of the special topic, and deadline. Usually this comes out after September each year, and the deadline is usually by the middle of January). For the past two years, we have submitted our final version of the manuscript around the second week of February.
The working group position paper is a position paper on a particular specified topic. We are asked to write a position paper, that is, our group's "position" on the topic. One member in the group takes the lead on the paper, and it is that person's responsibility to start the conversation, write a first draft, circulate among the group members, recruit authors, and submit the position paper within the timeframe. As a member of the group, you are welcome to express your interest to lead the paper and take it on from there. So, the time period is between October - February and work involved is writing a paper and consulting with the group to recruit other fellow members as co-authors. You can see that the latest version is that of 2023 edition.
Edwin Lau led the 2024 version of the position paper (2023-2024) and the paper was accepted but that is not yet up on the Yearbook Journal site.
Anandhi Ramachandran led the 2025 submission of the position paper and submitted to the editor on February 2025. We are waiting for the decision.
The next call will be around September-October 2025 and we will be in touch about submissions around that time.
### Annual Report
Around April, the WG chairs will distribute a template for the WG annual report usually in or around April of each year with a deadline for the end of June. The working group annual report contains the following:
* A tabular list of the current active members (we usually list those who have been named on the discussion group with non-bouncing and unique email addresses, so please make sure that your email address is "unique" (i.e., no duplicates), and of course you do not have an email address that bounces. Please get in touch with either me or Sriram if that is the case and we will sort it out.
* An itemised list of all your Telehealth Working Group related publications, presentations, successful grant applications, community outreach activities. We need a brief one paragraph description (if you have an accompanying photograph, please share), and for your publications, please share them as a complied Vancouver citation style list of publications.
So time cycle is April - June every year. Next time update expect around April and we will request from each member usually in the form of a live Google Docs where you will add your contribution (see above). It is the responsibility of the co-chairs to compile the report.
### Monthly community call
We have a monthly community call around the last Monday (we use UTC) of the month. As we have members spread around the world, we are practically never able to accommodate 100% members in the community call, but those of you who are interested to join the call, and are able to join it based on the time, you are welcome to join the call. We are striving to make two calls. Usually these calls are hosted by the co-chairs, but indeed anyone can volunteer to host these calls. There is a dedicated jitsi meet link (check the link in the description of the group). For February, we are meeting on 25th February, 7PM UTC. In the community call, we usually discuss our current projects, or ideas that we want to share. It is a simple check in process, sometimes with agenda items.
