Registration platform Registration is done using [eventbrite.com](https://www.eventbrite.com/). Data collected Your personal data is required for you to register and participate the workshop. If you enter information in the input fields provided and submit the form, the following data will be transmitted, stored and processed electronically by the organising committee of the workshop. >[color=#fc4103] > - First and last name > - E-mail address > - Affiliation > - Country > - ~~Type of profession (optional)~~ ==Job title (optional)== ### 1.3. Processing personal data The personal data that you voluntarily provide by submitting the form will be used for the following purposes: >[color=#fc4103] > - Confirming your registration > - Creating a list of participants > - Contacting each participant individually by e-mail with the webinar link > - Evaluation of the event ### 1.4. Storage period Your personal data will be ~~deleted from~~ stored for 3 years after the workshop ==and will be deleted thereafter==, unless you choose =="I agree"== to be contacted for future events in the registration form. ### 1.5. Legal basis Processing of the personal data gathered is legally based on Art. 6 para. 1 lit. b EU General Data Protection Regulation (GDPR) https://gdpr-info.eu/art-6-gdpr/ ## 2. Conduct of workshop ### 2.1. Zoom Meeting The event will be run as a Zoom Meeting. A registration for a Zoom account is not necessary. You can join the meeting only in listen and view-only mode by using a link that will be shared with you before the event. You will not be able to use your camera or microphone. You can communicate with the host of the event or the speakers only using the Chat function. There will be no audio-visual contribution from the attendees to the event. Recording of Meetings Recording of the talks is only subject to the consent of the presenter. If a presenter does not agree, there will be no recordings. Recordings will only be made during the presentations of the speakers and it will be stopped immediately after the talk is finished. No recordings will be made during the Q&A sessions. Your audio or video will not be in the recordings, but your name might appear. In case you do not want your name appear in the recordings, we advise you the use your initials. These recordings will be made available on Youtube and shared on the social media channels of our group after the event. Once a presenter agrees for the talk to be recorded and shared, the recorded video will be made available under a [CC BY 4.0](https://creativecommons.org/licenses/by/4.0/) license with the name of the presenter. The organisation committee does not claim any copyright on the recorded material. A re-licensing with [CC BY 3.0](https://creativecommons.org/licenses/by/3.0/) by attribitung to the original recording will be made while sharing the video on Youtube. Chats If you use the chat function to ask a question in Zoom, your text inputs will be saved for archiving purposes. The chat messages will be anonimysed before archiving, so that it can not be traced back to an individual attendee. ### 2.4. Screenshots We may take screenshots during the Zoom meeting. Your audio or video will not be in the screenshots, but your name might appear. In case you do not want your name appear in the recordings, we advise you the use your initials. These screenshots will be stored and may be used in the social media channels of our group during or after the event. ## 3. Third-party applications Running the event, i.e. registration, conducting the online meeting, sharing videos after the meeting, will include the use of third-party applications that process personal data. Each tool used is clearly pointed out, and references to their terms of service or privacy policies are given. Organising committee of the workshop has no influence on the privacy settings of these services. By participating in the event you agree to their privacy policies. ## 4. Responsible body RWTH Aachen acts as the overall responsible body. RWTH Aachen is a public body in accordance with the [North Rhine-Westphalia Data Protection Act](https://recht.nrw.de/lmi/owa/br_bes_text?anw_nr=2&gld_nr=2&ugl_nr=20061&bes_id=38824&aufgehoben=N&menu=1&sg=0).
