# Events Crew Organization

## The Team
### Event Leads
#### Project Lead: Namelessfairy
##### Primary Duties:
- **Coordinate event staff**
- Delegate tasks
- Ensure that everything is ready on the day of the event
- Maintain direction and keep the drive going for creative people to make something interesting
##### Additional Duties
- Manage Google Docs
- Creating tournament brackets
- Make sign-up forms for things like the Toolbox Tournament
- Handle donations/donation roles on Discord
- Handle accepting and distributing prizes
- Make and write-up event announcements for Discord and the forums
#### Coding Leads: Wayland & Shaps
##### Duties:
- Clear merge conflicts
- Bring repo up to date with master
- Run testmerges of event code on the event servers
- Bring up/down the event servers
- Run tests leading up to the event day
### Event Staff
Event staff is the day-of workforce, making sure things run as smoothly as possible.
#### Duties
- Streaming the event, traditionally at https://www.twitch.tv/tgstation
- Making server-wide announcements
- Using event-specific equipment (i.e. the computer that switches out toolbox tournament maps)
- Coordinating player teams
- Running tournament brackets
- Answering player tickets
- Playing appropriate music
### Event Mappers
Mapping makes up the majority of the work that gets done for events.
Mappers are also our first line against players who would intentionally misuse event props to cause trouble.
#### Duties
- Make thematic maps (or parts of maps!)
- Ensure that there are no dangerous things (weapons, tools, etc.) littered around the map
- Edit objects that are easily breakable or break into dangerous things (typically glass shards) to have a high integrity

### What does "Senior" mean?
Senior event staff, designated with an extra role on discord, are people who have made significant contributions to at least 3 events. They have no special powers over regular event staff, except for their experience with events.

## Appendix: Rave's Opinions
Perhaps we should make a soapbox note everyone is free to use for their additional thoughts?
### Tutor/Advisor roles to assist new contributors
Ultimately we face three categories of materials that need to be produced during the course of an event, sprites maps and code. Within these categories we have opportunities for inexperienced community members to cut their teeth on something as well as critical tasks that we require skilled contributors for. I propose an addition to our workflow where we tag and delegate easier and less ciritical things to be done by new and first time contributors.
To this end I believe that we would benefit from staff positions in each category of contribution to assist in lowering barriers for newbies and helping them get their stuff done.
Additionally this role would be involved in the development of training materials for the categories that they are working in.
This would be considered a minor role.
### Promotional Materials
I unironically think it would benefit us to have someone who has a knack for putting something together for people to look at. This might not warrant its own position but on the other hand do we really want to add more onto someone's workload?
### Judges
If we plan on continuing to have competitions within our events it might benefit us to have some people who have been assigned as judges and are ready for all of that. A diverse representation for judges would be decent.
### Streamer
This is an official position that is Citrus' and whoever he asks to be on with him.
### Leads versus seniority
I might be retreading ground here but I thought I might as well expound for a second. Ideally we can pull two leads for each category so if one has life stuff come up we aren't left high and dry.
To me signing up for a lead is a commitment to overseeing your category which might involve delegation as well as direct work. You're expected to show up and see things through.
Senior as a role instead allows contributors who have put a lot of work in to have a title that reflects it. They are not committed to contribution, they can choose to add as they feel like it.
