### UTA carpentries team: roles and responsibilities
**General:**
We need one person responsible for media communication: **media coordinator**?
- Updating website (http://carpentries.uta.edu, https://github.com/utacarpentries/utacarpentries.github.io)
- Consolidate https://github.com/uta-carpentries and https://github.com/utacarpentries, add links to lesson materials on the website
- Checking UTA carpentries emails/twitter
- Analysis of worksop surveys
- Student retention at the workshops
- Advertisement
**Workshop preparations**
We need one person responsible for workshop logistics: **workshop coordinator** ?
- Workshop website/notifying Software Organization (must be ready 2 weeks before the workshop)
- library reservation (the sooner the better)
- Registration/Eventbrite (2 weeks before the workshop)
- Accounting
- Advertisement - Flyers,emails, MavWire, etc.(2 weeks before the workshop)
- Parking (must be reserved 2 weeks before the workshop)
- Food/food waver(must be submitted 2 weeks before the workshop)
- Internet access (must be requested 2 weeks before the workshop)
- Badges for instructor/helpers/participants
- Photo release form
- Sign up sheets,extension cords,sticky notes
We need one person responsible for running the workshop/lessons: **Lead instructor**
- Software installation (at home or together at the workshop?)
- Making sure lessons are current
- Assign lessons to instructors
- Make sure there are enough helpers

Classes start Aug 21:
Workshops are best attended when offerred 2-3 weeks into the semester.
Let's try for September 7 or 14th. This means that we need to start preparing NOW to reserve the library and in mid-August to make sure that most everything is ready 2 weeks before the event when we start advertizing (by August 26-Sep2)

### Instructor training
In 2018 UTA became joined Software carpentry membership that made it possible to train 6 new instructors every year. The UTA membership is sponsored by UTA libraries, College of Science and College of Engineering. This means that staff/students from these colleges get priority when it comes to training, 2 from each college. Training for 2019 should be completed by the end of the year.
