- Found out that CryptPad also has Kanban Boards. Created a Core Planning board here and will fill it with some content later: https://office.ethberl.in/kanban/#/2/kanban/edit/XgLzcMlgwt3wyYCfuzBOB6q3/ - Feel free to do workstream specific Kanbans if that helps you for task management!
## Update Round of Workstreams (workstream leads in brackets)

#### Core Planning (Franzi)
- 1st planning meeting with Factory went well
- Working on event schedule for them
- They can help us allocate rooms for our needs once we know more about experiences etc.
- Reaching out to potential keynote speakers
- Mark Nadal kind of confirmed if we can cover his flights
- Jarrad Hope kind of confirmed
- Hary from Nym declined / they have an offsite
- Meeting with EF PSE team on Monday July 11 to discuss quadratic voting at ETHBerlin
#### Design (Hany, No BS)
- design new variations
- had design breakout on Monday
- sponsorship deck ETA "in no time" once we select the design variation
#### Website (Kaan)
- Created a preliminary website contents doc in Cryptpad
- https://office.ethberl.in/pad/#/2/pad/view/R0-Ag0GdPZD85aR+pA7kr49IGRal841iHVBTDIPd430/
#### Sponsors (Christopher, Nichanan)
- new lead Fluence network (?)
- ongoing Tier 1
- After higher tiers have sold out, will publicise the deck for the community to support the event. Community tier is reserved for non-profits and local organisations - not for projects with a lot of money
#### Community & Communications (Helena)
- Eylon's brilliant meme strategy
- https://office.ethberl.in/drive/#/2/drive/edit/IFTNLZqInMkSqf+Q6hg0k9HD/
- Blogpost being drafted on why you should hack at ethberlin/what hackers can expect
- Tweet ideas: https://office.ethberl.in/pad/#/2/pad/edit/rmQPqu8Sj4PQmy5K0bR2ZQYv/
#### Swag (Carl)
- not much news
- common sense items to be selected by July 15th and get started on those
- t-shirts different colors for different roles (hackers, mentors, volunteers)
#### Experiences Curation (Helena)
- Fortnightly catch up meeting thursday 2pm
- Art exhibition/culture led by MP & Stina
- Brainstorming doc: https://office.ethberl.in/pad/#/3/pad/edit/eef5a33a00db345946aa29e56eda36e9/
#### Volunteers (Rose)
- 12 applications
- 7 with experience, 5 new
- 10 in Berlin all days
- 2 former ETH Berlin volunteers
- opinions on this application: I am an eth enthusiast and would like to meet crypto people but cant sfford the tickets
- **Next:** Send Mail with further questions & confirmation that application is in review
Like this from last time: https://docs.google.com/document/d/1h9xxuBbHZQiuarZ7-OzsLTm6a8CdpMr0GDlSwKlAJho/edit
- a Tweet?
- **Teams: please think until next week how many volunteers you might need (approximately)**
#### Mentors (Anna, Caspar)
- synced with Anna: digged up old resources such as email templates etc., looked at ticket queue system ([helpq](https://github.com/ehzhang/HELPq)) used in last edition
- 60+ mentors in last edition
- next steps: managing mentor applications
- questions:
- Can only find preview mentor form, @afri where is the live one?
- @afri: can we get mentor@ethberlin.ooo please?
- how many hackers were there in total last year? -> roughly 700 (also this year). What hacker:mentor ratio to aim for? roughly 10:1.
- matrix main form of communicatcion for hackers/mentors etc. during hackathon? yes.
- tweet please
#### Judging (Jacob, Nich)
- synced with Chris (1kx) to brainstorm about judging logistics. For ETH Lisbon and ETH Berlin last time had judging panels consisting of 1 VC, 1 founder/product person, 1 technical person, and had teams present to 2 of these judging groups
- could potentially have judges select top 20 and then use quadratic voting for the community to vote on winners. there should be a pre-selection otherwise there are too many submissions for individuals to judge
- emphasis on getting teams feedback from the judges
- shouldn't try to stretch out judging process for so long
- need to talk to PSE team about what's possible on their end
#### Entertainment (Helena, Arseny, Kristina)
- Pitching venues for after-party
- Kater blau
- budget tbd, last party roughly 25k
- Alex to help as well
-
#### Ticketing (Ligi, Afri)
- 2 stage ticketing process
- application clean in CryptPad
- all details only asked in ticketing in PreTrix for accepted applications (e.g. food, t-shirt, github etc.)
