###### tags: `Meeting Notes` # Core Team Meeting 2022-07-12 _Attendees:_ - Afri - Franzi - Nich - Kaan - Raul - Alex - Hels - Wesley - Ligi - Eylon - Arseny - Katze ## Overview of workstream leads & contributors Please keep this doc updated :) https://office.ethberl.in/pad/#/2/pad/edit/832o4AbMbssHdXCJafTyVPaE/ ## General Updates & Discussion - Let's decide on swag items that are "no brainers" until July 15 -> https://office.ethberl.in/sheet/#/2/sheet/view/kB9Vt9P12EuOWdW0HuaALguGWsn0FArImUsoglGMkYk/ - ## Update Round of Workstreams (workstream leads in brackets) #### General / Legal (Afri) - Filled out a form for liability insurance (10M EUR coverage for the event). This was confirmed. - Some sponsors want minor amendments to the contract, nothing of concern - might have sparkasse bank access now, have to check after the call #### Admin / Accounting (Raul) - Pinata (signed) - Obol (signed) - zkSync: hey said they were sendiing the signed agreement but have not. i followed up this morning. waiting for answer - NFTFfi: ready to pay - they want to do so in USDC - LITProtocol: invoice sent - Lens: I shared the google doc of the agreement so they can mark the changes done on the section they have issues with to see if we agree. - Protocol (waiting for confirmation) - Radicle (confirmed) - Fuel Labs: i sent the email and cc you both. telling them i believe there were available tier 1 slots but that we can confirm shortly. 1. I will check with MP on current payments. 2. NFTScan sent email asking for more information 3. we decided to conclude tier 0 and 1, then move to the next ones. #### Core Planning & Content (Franzi, Afri) - Hackathon tracks drafts: - Track awards - privacy & security - defi - infrastructure - people empowerment & justice - open track - Meta awards (can be from any of the above categories) - best user experience & design - best research / crypto-economics - best smart contracts - best cryptography - Meeting with PSE on quadratic voting - Might be hard to do QV for all categories, maybe best to do just for open track. Others can be via traditional judging - Willing to support wtih 14k in prize money for open track, build frontend, technical support that allow people can use their phones to vote on stuff - One condition: the grant money should only go to projects in the Ethereum ecosystem as they got this funding from EF - In return, asks for things that they can't do like deploying the smart contracts and give users keys that will be allocated voting credits - Next Monday will meet again to finalize whether we'll work together - Question: can they have a booth/helpdesk to educate people on QV and their track? #### Design (Hany, No BS) ✅ Brand, logo, theme ✅ Primary social media assets (Twitter but could be reused) Doing: Started working on the website More sm assets (on demand) #### Website (Kaan) Will start working building the core components of the website parallel to the design. #### Sponsors (Christopher, Nichanan) - Most of the updates are in the Admin/Accounting section - Tier 2 probably hardest to fill since there is no bounty perk and still quite expensive. If there is really no interest, could think of a way to make it more attractive but let's wait and see before going down that road - Goal is to finalise all Tier 0 and 1 payments by EOW, and everything by end of July. Hard stop for signing by end of August? - Need to get full website done so we can do a full blown marketing to push it - Need to push people to do follow-ups #### Community & Communications (Helena) Social Media design assets set over this morning (thanks Hany!) Will launch them today!! Eylon & I still working on blogpost, will have it ready end of week for when the ghost branding is ready. Should start thinking about announcing sponsors after we get a few more signed #### Swag (Carl) #### Experiences Curation (Helena) MP & Stina will lead the art exhibition around the best of Berlin & integrating tech. They will do it in same room as last year, and we will also have it open to people outside of the event during delegated time. They will also hunt down artists, organise the fundraising for it and also select some talks and features. Check in call this thursday to start moving forward with the ideas we've come up with so far. #### Volunteers (Rose) - 32 applications in at the moment (some from the previous edition coming back), want at least 50 #### Mentors (Anna, Caspar) (Caspar: not able to attend today's meeting) - 36 applications so far, some high quality ones amongst them - question: what is the timeline for accepting volunteers/judges/hackers? Are you planning to do it in batches? - Would be good to do it in batches so hackers can plan their trip, and tweet that we sent out the first volunteers/judges/hackers acceptances so people will be more motivated. Can discuss timing in the chat #### Judging (1kx, Nich, Jacob) - rough judging planning last week, but waited for PSE to see what is possible - judges committee kick-off call to align on tracks, judging panels and improvements - judges would only get credits for the open track - make a document where we discuss different options #### Entertainment (Helena, Alex, Arseny) Venue hunting! Pitched Kater Blau, Alex meeting Heide guy this week. Once we have a budget we will know what we need re. sponsors - play tracks.lol as a radio? (we can ask Tim Daub), or a similar one that's running on Swarm - #### Ticketing (Ligi, Afri) Back from vacation - will set up the ticketing instance this week Tickets will be sent to accepted hackers, volunteers etc. along with their confirmation emails ## Miscellaneuous - Content? Since we are designing this as a hackathon and not a conference, there won't be that many talks besides the technical workshops. But they should be recorded and internally livestreamed (Factory probably not handling this)
