# RustFest 2020 - Utrecht University site visit 2020-02-28, 12:30 – 15:00 CEST Site visit: Dirkjan, Erik ## Checklist * Internet access? * we forgot that one... * Take photos: * Conference room * Sponsor space * there is a big open space on the second floor where the conference hall is. We can setup the sponsors close the entrance or behind the elevators (more space there) * Catering area * see video * Toilets * not from the inside * Elevator * Quiet room * can be any of the workshop rooms, or maybe the second conference hall * Maybe even short video walking the venue * Dirkjan made one * Public transport to university wheelchair accessible? * Yes. On the weekends the tram does not go. We took bus 28, it had a wheelchair door (see pics). We have to check what kind of busses go on the weekend to make sure. * Where can we put up direction signs at the day of the conference? * We aren't allowed to use tape, but should use "gum stuff" * Are we allowed to use the [meditation, lactation and first-aid room(s)](https://students.uu.nl/en/meditation-lactation-and-first-aid-rooms) / resp. use them as quiet room(s) * we can use the lactation and first-aid room. We can use rooms in workshop area as meditation and quiet rooms. * Ask for maps and orientation material so we can provide this online in advance * Dirkjan did you ask? * Is it allowed to bring guide and service animals to the venue? * yes * Access to non-gendered toilets * Dirkjan? * According to the photo on Google Drive, there is at least one * Separate room for childcare * we can use one of the rooms in the workshop area * Waste separation policy? * there are seperate bins, see pictures * Can we get sponsor material shipped to the venue prior to conf? If yes, where to? * Yes * Address / recipient? * Are there garbage bins in every toilet cabin? * Dirkjan did you ask? * Is there space to leave jackets? * Dirkjan? * Is there any comfortable space that is suitable for socializing / hanging out? * There are a few places where you can hangout, quite a lot of space. See pictures. * In general: Is it easy to get around within the venue? Are the paths in-between relevant rooms short, or does one easily get lost? * It is spacious but you have a good overview quickly. From the entrance of the conference hall you have an overview over the entrance, pretty much everything. The workshop rooms are in a seperate hall way, but it also easy to find. ## Other findings - We have a lot of freedom to use all rooms in the building. Very friendly and helpful folks at UU. There are a lot of rooms in the hallway where the workshops will be, maybe 20+? We can choose which ones to use. Some have tables and a lot of outlets, some have chairs only, little outlets (lecture rooms). In the area with the two conference halls there are no other rooms, only the lactation/first-aid room and the catering area. - Both conference halls are available. Both look great and have the same facilities. The smaller one (400) has a path in the middle, the larger one (500). Does not. Not sure that is something we find important. Dirkjans notes: - Microphones at service point, there will be a receptionist - Don't use tape to stick things on walls/doors, use gum stuff - Venue is available Friday night 17.00 - 20.30 - Check public transit capacity on the weekend
